Appointment Search Ahead

In NextGen® Enterprise PM while scheduling an appointment, you can use the Appointment Search Ahead feature to find the available timeslots for a specific event, location, and resource. For example, a patient wants to book an appointment for a physical exam at the main office location with Dr. Smith. The patient wants the appointment within the next three weeks and preferably on a Tuesday or Thursday morning. You can enter these criteria on the Appointment Search Ahead window to find the available time slots that meet the patient's request. When searching for available timeslots, you can use any of the following combinations in your search: One event, one service location, one resource One event, one service location, multiple resources One event, one service location, one class One event, multiple service locations, one resource One event, multiple service locations, multiple resources One event, multiple service locations, one class Note: You cannot select both a class and a resource

Enterprise Appointment Search Ahead

When scheduling a new appointment across various practices, you can use the Enterprise Appointment Search Ahead window in NextGen® Enterprise PM to find available time slots for a specific event, location, and resource to book new appointments in various practices, without logging out of the currently logged on practice and logging on to other practices. For example, a patient wants to schedule an appointment for LASIK surgery and calls the scheduler. The scheduler, an enterprise user, logged on to practice A and has access to four more practices. The scheduler can view all available time slots on the Enterprise Appointment Search Ahead window without logging out of Practice A and logging in to the other for practices. You can open Enterprise Appointment Search Ahead in the following ways. By selecting Tasks > Appt Search > Enterprise. By selecting the icon in Appointment Book. You can use an enterprise event or any of the following combinations in your search to find an available time

Searching for Appointments with Enterprise Resources

The Resources field on the Enterprise Appointment Search Ahead window is activated when you select an enterprise event. Only the resources that are templated and having the same event duration as that of the member events appear in the Resources list; else, the list is empty. The template and duration are set on the Practice Scheduling Administration window. When you enter the first letters of the resource name, the Resources list suggests the resources that start with the same letters. If there are no resources with those letters, you get a warning message. When you select multiple resources, all the selected resources appear in the read-only text box below the list. When you point to the text box, all selected resources appear as a tooltip. When you select a resource, it shows the resource duration as set in Practice Scheduling Administration and is compatible with any of the member events. If the selected resources are from the same practice, the search finds the available time slot

Schedule Appointments from Available Timeslots

You can schedule an appointment for a patient from the available time slots on the Enterprise Appointment Search Ahead window. On the Enterprise Appointment Search Ahead window, in the Available Timeslots section, right-click or double-click the desired time slot. If you have multiple resources and service locations from various practices for the selected event, you can select on the filter on the Practice column in the Available Timeslots section. The available time slots for the resources and service location of the selected practice lists. The Book Appointment menu appears. Select Book Appointment. The event, resources, service location, date, and time fields are filled. The Add Appointment window opens. Select the open menu icon, and select Lookup. If the patient is selected on the Enterprise Appointment Search Ahead window, the patient information is added on the Add Appointment window. The People Lookup window opens. Switching Between Practices for Booking Appointments

The Enterprise Appointment Search Ahead window enables you to book appointments across the practices that you have access to from the currently logged on practice. When you select an enterprise event and search for an appointment, the list of available time slots for that enterprise event appears in the Available Timeslots section. When you right-click or double-click any time slot and if the appointment is available in another practice and not in the logged on practice, the Enterprise Appointment Search Ahead window opens the practice in which the appointment slot is available, and the Appointment Book for that practice opens. Note: When the practice switches from the logged on practice to the other practice, the Session Settings window opens, if session settings are set for the practice. The security rights for the available time slots on the Enterprise Appointment Search Ahead window are the same as that of the practice. When a practice switches to another practice while scheduling

On the Enterprise Appointment Search Ahead window, when you search for available time slots by selecting a patient, the time slot from practices displays only the patients listed on your inclusion list or all patients except those listed on your Exclusion list in those practices. The Inclusion or Exclusion list is initially set up in System Administrator and applied when you search for a patient in NextGen® Enterprise EHR, NextGen® Enterprise PM, or NextGen® Optical Management.
