Check Out the Group Members from a Group Appointment

From the Edit Group Appointment window, you can check out all or certain group members who have checked in to the group appointment. This concludes the group appointment and captures the date and time. Select ApptBook on the main toolbar. From the Daily, Weekly List, Weekly Schedule or Multi-View view, select a group appointment that is in Kept status. Right-click and then select Open > Group Appointment. The Edit Group Appointment window opens. Select open menu and then select Checkout Members. Note: This option is not available if all the members are checked out. The Group Checkout window opens. Note: In this image, the members shown in grey are the unchecked members. The member shown in red is an expired patient and it is mentioned in parenthesis next to the member's name. Scheduling Group Appointments

You can schedule a single appointment for patients within a patient group. For example, to schedule a counseling session for a patient group on Wednesday at 11:00 AM, you can schedule a single group appointment, rather than scheduling separate appointments for each patient for the same slot. When you schedule and save a group appointment, an individual appointment is created for each patient in the group, and all appointments are displayed in the same time slot in the appointment book. Each individual appointment has a unique appointment ID and a common Group appointment ID in the database. Note: Due to the nature of group appointments, conflicts related to overbooking do not apply when an appointment is scheduled. Additionally, you cannot use event chains at this time. You can also create group appointment shells and manage them. A group appointment shell is a group appointment with no associated member appointments. Group Encounters

A Group Encounter is a way to create encounters for all members in a patient group at the same time. For example, a group appointment was scheduled for a patient group on Wednesday at 11:00 AM for a counseling session. Rather than creating a separate encounter for each patient at check-in, a single group encounter can be created for the patient group prior to check-in. When a group encounter is created, an individual encounter is created for each member in the patient group, and all encounters have the same Billable Date, Service Location and Rendering Provider. Each encounter is assigned a unique Encounter Number and all encounters are associated with the same Group Encounter ID in the database. When a group encounter is created prior to check-in to create the individual encounters for each member in a patient group, the appropriate encounter can be linked to each patient's appointment during the check-in process. Group Scheduling

Group Scheduling can be used by practices that render services in a group setting. For example, a clinic may provide education, support, counseling or therapy sessions to various groups of patients. When Group Scheduling is enabled for a practice, you can create a group that includes specific patients. Then a single group appointment can be scheduled that automatically creates a separate appointment for each patient in that group. In addition, at check-in a single group encounter can be created that automatically generates separate encounters for each patient in the group. Check In Individual Appointments Created from a Group Appointment

An individual appointment which is created from a group appointment can be checked-in either by linking it to the available group encounter or by creating a new encounter for the individual member. To select an appointment that was scheduled as part of a group appointment, do one of the following: Select ApptBook on the main toolbar. Select Appointments on the main toolbar. To start the check-in auto-flow process, right-click and select Checkin/Create Encounter > Appointment. The Available Encounters window opens. The patient's encounter that was created from a group encounter is listed. Other same day encounters may also be listed, if applicable. Note: The window opens regardless of the At check-in show same day encounters setting in Encounters tab of Practice Preferences.
