Void a Charge with Contract Auto-Adjustments

If there is a contract auto-adjustment on a charge, then you can void the charge and the auto-adjustment will be reversed. The contract auto-adjustment transactions are reversed regardless of the Allow Sign Override setting in the File Maintenance.

  1. Open the Charge Posting window for the desired encounter.
  2. Open NextGen® Enterprise PM.
  3. Select Charges.
    The Charge Posting window opens.
  4. Select the encounter, and then select the charge with auto-adjustments.
  5. To void the charge, do one of the following:
    • Select the Void button.
    • Right-click the charge, and then select Void.
    A message appears stating that the charge has an auto adjustment and transactions applied. If voided, the charge cannot be reversed.
  6. To reverse the auto-adjustments and void the charge, select OK.
    The voided charge is now crossed-out. The original charge amount and quantity are reversed using a system-generated Void Charge adjustment transaction code. The reversed amount appears in the Adjustment column of the ledger.
  7. To view the system-generated transactions, right-click on the charge and select Expand All.
    The voided charge appears showing the Void Charge transaction code and the voided amount in the Pat Amt column. It also shows the Adjustment transaction code and auto-adjustment reversal amount in the Ins 1 column. A padlock icon indicates the transactions are locked and cannot be undone.
