Set Up Interval Overrides for an Event

Setting up an override for an event is when you add a duration time to an event that is different from the default duration time. Note: A duration time override for a resource cannot be less than the practice Default Time Interval, which is set on the Appt Scheduling Practice Preferences. For example, if the default time interval is 30 minutes, then you cannot set a resource duration time override for less than 30 minutes. However, if the default time interval changes, the duration time for the appointment reflects the default time interval, not the resource duration time override. Select the Admin > Scheduling Admin. Select the Events tab. The Events list opens. Double-click the applicable event. Enable Interval Overrides for the Practice

The Appointment Scheduling Practice Preferences enable you to set options and default information for the appointment book for your practice and all related service locations. You can also enable interval overrides for the practice. CAUTION: If the interval overrides is enabled and you later want to disable it, changing the resource's time interval deletes all scheduling data currently in place for the resource. This includes: member classes, appointment conflict checking data, appointment search ahead data, appointment wait lists, default resource assignments, event duration overrides, template assignments, and template exceptions. Select the Admin > Preferences > Practice. Select Appt Scheduling in the Preferences List. The Appt Scheduling Practice Preferences opens. Select the Allow interval overrides check box to enable time interval overrides at the resource, template, and event levels. Set Up Overrides for an Event

The Overrides tab on the Add Event or Edit Event window is used to define a duration for a specific resource that is different from the default duration defined for the event. For example, most providers in the practice need 30 minutes to see a new patient, so the default duration for that event is set to 30. However, one provider needs 40 minutes to see a new patient. An event duration override can be set to 40 for that provider. An event duration defined for a specific resource overrides the default duration when an appointment for the event is scheduled for that resource. This ensures that the proper amount of time is blocked on the resource's schedule. In NextGen® Enterprise PM, select Admin > Scheduling Admin. Note: When you select the Enable Enterprise Appointment Scheduling option in Practice Preferences window, the Scheduling Admin option on the Admin menu displays the following two options: Enterprise Practice The Scheduling Administration window opens. Time Interval Overrides

If you need to schedule resources at different time intervals, you can set different time increments for your resources, templates, and events. For example, the majority of doctors at a practice might require 15-minute time intervals to perform their standard procedures, but two doctors at the same practice require 10-minute time intervals for their scheduling preferences because their specialties differ from the majority. The time in the Default Time Interval field on the Appt Scheduling practice preferences is the default interval used in all scheduling fields that deal with time increments, such as template and resource time intervals and event durations. You can override the time interval if you select the Allow interval overrides check box. The Allow interval overrides check box affects many areas of NextGen® Enterprise PM, Scheduling Administration, and File Maintenance. First Third Available Report

The First Third Available Appointment report helps a practice identify the average number of days a patient must wait to see a resource for a specific type of appointment. The third next available appointment is used instead of the next available appointment because it is a more realistic depiction of how many days a patient would have to wait to see a provider. A measurement of only the next available appointment can easily be changed due to cancelations or other unexpected events. The settings you choose in Practice Preferences and Scheduling Administration determine the next third available appointment for the desired combination of patient, resource, and event. To access the report in NextGen® Enterprise PM, select the Reports menu and select Scheduling and then select First Third Available.
