Remove Unposted Transactions from an Encounter to be Deleted
You cannot delete encounters with posted transactions.
From the main toolbar, select the
Posting
button.
The
Batch Posting
window opens.
Select the batch that includes unposted transactions for the encounter to be deleted.
Right-click and select
Ledger
from the menu.
The
Transaction Ledger
window opens.
Select a transaction to be deleted.
Right-click and select
Transactions
from the menu.
The
Payment Entry
window opens.
Select the
Delete
button.
A prompt appears asking to confirm if you want to delete the transactions from the batch.
To delete the transaction, select
OK
.
The transaction is deleted from the encounter.
Close the
Payment Entry
window.
The
Transaction Ledger
window opens.
Repeats from steps 4 to 8 to delete additional transactions.
To close the
Transaction Ledger
window, select
Close
.
To close the
Batch Posting
window, select

Remove Charges from an Encounter to be Deleted
You cannot delete encounters with processed charges or with charges with posted transactions. Access the Patient Chart. Select the Encounters tab, and then the General sub-tab. From the Encounters list, select the encounter to be deleted. Right-click and select Charges from the menu. The Charge Posting window opens. From the ledger section of the window, select a charge to be deleted. Select the Delete button. A prompt appears asking to confirm if you want to delete this charge. To delete the charge, select OK. Remove Claims from an Encounter to be Deleted
Claims created for an encounter must be deleted before the encounter can be deleted. Access the Patient Chart. Select the Encounters tab, and then the General sub-tab. From the Encounters list, select the encounter to be deleted. Right-click and select Claims from the menu. The Encounter Claim Requests window opens. Select a claim to be deleted. Right-click and select Delete from the menu. A prompt appears asking if you want to delete this claim and all associated claim requests. To delete the claim, select Yes. Delete Encounters
Sometime, it becomes necessary to delete an encounter, for example, the wrong patient’s appointment was checked-in and an encounter was created in error. Activity that may have already occurred on the encounter may include the following: The encounter was created from the Appointment Book using the Checkin/Create Encounter process. The status of the appointment changed from Expected to Kept when the encounter was created. The encounter was automatically linked to the appointment. Payers were attached to the encounter. Charges were entered on the encounter. Diagnosis codes from the charges were copied to the Patient Chart, Encounters tab. Transactions were entered on the encounter. The encounter was billed and a claim was created. To reverse the check-in of an appointment and delete the associated encounter, the activity that has already taken place on the encounter must be removed. Search for Transactions
You can search for transactions from the Transaction Ledger window. Access the Batch Posting window. Select the applicable batch, right-click and then select Ledger. In the Ledger Lookup window, right-click and select Ledger Lookup. The Ledger Lookup window opens. Do the following as applicable: Enter a source identification number. Select one of the following source type: Account Budget Encounter Invoice Enter a transaction date. Enter the total amount billed. Enter the allowed amount. Enter the payment amount for a transaction. Enter the adjustment or refund amount. Select one or more of the transaction codes that you want to include in your search criteria. Enter the tracking description. Enter the last name of the patient. Clear the Include Reconciled check box if you do not want to include reconciled transactions as part of your search criteria.
