Print or Export an Individual Encounter Collection Letter
An individual Demand Encounter collection letter is generated for a guarantor from the Patient Chart, Encounters tab.
- Open NextGen® Enterprise PM.
- Select Chart.
The Patient Lookup window opens.
- Enter search criteria to locate the desired patient.
- Select Find.
All existing persons and patients that match the search criteria are displayed in the Matching Records section.
- In the Matching Records list, double-click the patient.
The Patient Chart window opens.
- Select the Encounters tab, and then open the desired encounter from the Encounters list.
- Do one of the following:
- From the main toolbar, select the Letters button.
- From the Tasks menu, select Demand, and then Demand Letter.
The Demand Letters window opens. - Right-click the desired encounter letter and select one of the following from the menu:
- To preview the letter on the window, select Preview.
- To print the letter, select Print.
Note: The letter is automatically sent to the printer defined in Practice Preferences > Printing > Collection Letters. If the user has specified a different printer in their General User Preferences > Printing, overrides the printer defined in Practice Preferences.
- To create an ASCII export file and to send it to the third-party vendor for processing (printing and mailing), select Export.
A confirmation message appears stating that the letters are printed or exported correctly. - If the letter printed or exported correctly, select Yes.
The system updates the following on the Patient Chart.
- The Last Letter Date field is updated on the Chart, Patient Information tab, Chart Details sub-tab.
- A Demand Encounter Letter Printed or Exported significant event is recorded under History on the Chart, Clinical History/Notes tab.
Note: The significant event must be enabled from the Admin menu, then Preferences, and then Significant Events.
- To close the window, select Close.
Note: To prefix the Practice ID in the Account NBR field in an individual encounter collection letter, open NextGen® Enterprise PM Practice Preference window, select Forms, and then, select the Prefix Practice ID on Account NBR for financial letters check box.
