Practices Master File

The Practices master file enables you to set up practices within your enterprise. For accounting purposes, each practice should have a unique tax ID number. If you have two or more practices with the same tax ID, they should be combined into one practice with several service locations. After you setup your practices, you can: Share appropriate information across multiple practices. Easily maintain stored data. Create useful reports. Compare data across practices. Ensure patient privacy and confidentiality. How Practices Relate to Enterprises A practice can only belong to one enterprise. When you create a practice, it is created in the enterprise you are logged into. To create a practice in a different enterprise than the one you are logged into, you must either log into the enterprise or select that enterprise before you create the practice. Create a Practice in a Specific Enterprise

Use the following steps when you want to create: Your first practice within an enterprise that you have already created. A new practice in an enterprise that you are NOT logged into. Log on to File Maintenance. The File Maintenance window opens. In the upper left corner of the File Maintenance window, select the enterprise that you want to add a new practice to. Under Master Files, select System. If the enterprise you selected has no practices in it yet, the Master Files - System list only displays the Enterprise and Practices master files icons. Select the Practices icon. The Practices List Access window opens. Select the Open Menu button and then select New. The Practice Defaults tab on the Add Practice Information window opens. Enter the practice information. Select OK. The new practice does not display in the Practices List because you do not have access to it. In the System Administrator application, you must add a group to the practice and you must be a member of the group. Paren

Service Locations within a Practice

When your practice has multiple service locations, you can select them on the Add/Modify Practice Information window. If you want to add new locations, you must create them in the Locations master file. These service locations use the same preferences and libraries that the main practice uses. They also have the same Tax ID number as the Practice. As a general rule, if you have a location that uses different libraries and preferences, then it must be set up as its own practice. Why does the location make a difference? Practices with multiple-state locations must create claims based on the service location state where the patient had the encounter. The claim state, which is based on the service location state, drives the specific business rules in determining how a claim should be edited, printed, and submitted.
