Normalize Capitalization of the OCR Patient Demographic Information

  1. Select the Lookup icon to access the Modify Patient/Person Information window.
    The Patient Lookup window opens.
  2. Enter search criteria for the a patient.
  3. From the Matching Records list, double-click the a patient.
  4. In the Update Patient Information window, right-click the square photograph area in the upper left and then select Open or New.

  5. From the Scanning Device Input window, select Open Menu >Acquire.

  6. From the ScanShell 800DX window, select the Custom Settings tab and do the following:
    • Select Double Sided.
    • Select Color.
    • From the Resolution(dpi), select 600.
    • From the Scan size, select Business card (90 x 55mm).
  7. Insert the driver's license in the scanner.
  8. Select the Scan button.
    Both sides of the license are scanned, but only the front side displays in the Scanning Device Input window. NextGen® Enterprise PM stores the scan of the back side of the license in the database.

    You can crop the photo of the scanned image to update the photo of the patient in the patient record. When you crop the image, it displays in the Selected Segment section.

  9. Select OK.
    The Confirm Changes window opens highlighting the changes between the old and new driver license.

    If the OCR Title Case option is enabled at practice preference level and a patient’s demographics data is scanned using driver license through a scanner, first letter of each field of the following scanned demographics information is capitalized and displayed in the New Information column:

    • First Name
    • Middle Name
    • Last Name
    • Address 1
    • Address 2
    • City

    If the OCR Title Case option is not enabled at practice preference level and a patient’s demographics data is scanned using driver license through a scanner, each letter of the scanned demographics information is capitalized and displayed in the New Information column.

    If there is no previous patient information, the Current Information column isbla nk.

    If there is existing patient information, it appears in the Current Information column. The window highlights any differences between the new and current information. An update is needed only if there are new values.

    The Select Driver's License Region option defaults to the United States. If the driver’s license is a non-US license, the system displays a message and enables the appropriate region to be selected.

    A message at the top asks if you want to proceed with the update.

  10. If the new and current patient information are the same, either:
    • Select No to close both the Confirm Changes and Scanning Device Input windows.
    • Select Cancel to close the Confirm Changes window, but keep the Scanning Device Input window open.

      The Yes button is disabled since no update is needed.

  11. If the new and current patient information are different, do one of the following:
    • To prevent patient demographics information from being updated with the new values, either:
      • Select No to close both the Confirm Changes and Scanning Device Input windows.
      • Select Cancel to close the Confirm Changes window, but keep the Scanning Device Input window open.
    • To accept and update the patient’s demographics information, select Yes.
    The Confirm Changes and Scanning Device Input windows are closed. The Modify/Update Patient Information window is updated with the new patient demographics information.

    Select OK to save the patient record with the updated demographics information.
