Print or Export Individual Account Collection Letters

You can generate an individual Demand Account collection letter for a guarantor using the Account Profile window. Open NextGen® Enterprise PM. Select Account. The Account Lookup window opens. Enter search criteria to locate the desired account. Select Find. All existing accounts that match the search criteria is displayed in the Account List section of the window. In the Account List, double-click to open the account. The Account Profile window opens. Do one of the following: On the NextGen® Enterprise PM toolbar, select Letters. From the Tasks menu, select Demand, and then Demand Letter. The Demand Letters window opens. Right-click the desired account letter and select one of the following. To preview the letter, select Preview. To print the letter, select Print. Note: The letter is sent to the printer defined in Practice Preferences > Printing > Collection Letters. If the user has specified a different printer in General User Preferences > Printing, it overrides the printer defined i

Print or Export Batch Encounter Collection Letters

You can generate Encounter Collection Letters in batch for all guarantors that have a Collection Letter selected on the Billing & Collections tab of the Encounter Maintenance window. NextGen® Enterprise PM. Select File > Print Forms > Letters > Encounter Collection Letters. The Batch Encounter Collection Letters window opens. Enter the desired search criteria to print the selected letters or leave the search criteria blank to print all encounters with letters in the queue. Select Find. Encounters with letters in the queue display in the Collection Letters section. All encounters displayed are selected for printing in the column on the left. If you do not want to print some letters at this time, clear those encounters. The Update Letter Dates check box is already selected in the lower left section of the window and update the Last Letter Date field on the Chart Details sub-tab of Patient Chart > Patient Information tab, for each patient in the batch. Print or Export Batch Recall Letters

Patients with recalls qualify for letters based on their expected Return Date and the Send 1st/2nd/3rd Letter n Days Prior setting for their Recall Plan in File Maintenance. For example, if a patient’s expected return date is 06/01/2016 and the recall plan is set up to generate the first letter 45 day prior, the patient qualifies and is added to a letter queue on 04/17/2016. Other patients may qualify and be added to the letter queue on a daily basis. Because of this, recall letters should be monitored and printed/exported regularly. The number of recall letters in the queue can be monitored from the Letters section on the Advisor window in NextGen® Enterprise PM. From the File menu, select Print Forms, then Letters, and then Recall Letters. The Recall Letters window opens. Export Letters to an ASCII File

You can export an individual account or encounter collection letters on the Demand Letters window. You can export batch letters from the following windows: Appointment Reminders Batch Account Collection Letters Batch Encounter Collection Letters Budget Letters Recall Letters Open the collection letters that you want to export to an ASCII file. To create an export file, select Export. The Save As window opens. Browse to the appropriate directory folder to save the export file. Select File Name, and then enter a name for the export file. Select Save as Type, and then select text files (*.txt). To save changes and close the window, select Save. Note: When you create the export file, you must send it to the third-party vendor for processing. Instructions and training on how to send files are provided by the third-party vendor. Exporting Statements

You can export statements to create ASCII files that are sent to a third-party vendor for processing (printing and mailing). Both individual demand statements and batch statements can be exported. You must work closely with your statement processing vendor to ensure export files are created in NextGen® Enterprise PM and formatted using the appropriate data Delimiter and Text Qualifier required by the vendor. These must be defined in Practice Preferences > Forms > Export Options. Note: If you are using NextGen® EDI statement services, ensure to set the export options in Practice Preferences > Forms: Delimiter = <comma> and Text Qualifier = “.
