Encounter Lookup Search Criteria

The following table lists the fields in the Search Criteria area of the Encounter Lookup window and their descriptions.

Bill StatusTo find encounters with a specific status, select one or more of the following statuses:
  • <none> or blank (includes all statuses)
  • Bad Debt
  • Billed
  • History
  • In Progress
  • Rebill
  • Unbilled
Financial ClassTo find encounters with a primary payer assigned to a specific financial class, select one or more financial classes.
Enc NbrTo find a specific encounter, enter the encounter number.
Billable Dt FromTo find encounters within a specific Billable Date range, enter a start date. Pulls from the Billable Date field on the Encounter Maintenance window.
Billable Date ToTo find encounters within a specific billable date range, enter an end date. Pulls from the Billable Date field on the Encounter Maintenance window.
Rendering PhysicianTo find encounters with a specific rendering provider, select one or more providers. Pulls from the Rendering field on the Encounter Maintenance window > General tab.

Select the flashlight button to access the Provider Lookup window to find rendering providers using the following search criteria:

  • Last Name
  • First Name
  • Middle Name
  • City
  • State
  • Zip
  • National Provider ID
  • Provider Type
  • Provider Sub-grouping
Last NameTo find encounters for a specific patient, enter all or part of the patient's last name.
First NameTo find encounters for a specific patient, enter all or part of the patient's first name.
Patient TypeTo find encounters with a specific patient type, select one or more types. Pulls from the Patient Type field on the General tab of the Encounter Maintenance window.
Service LocationTo find encounters with a specific service location, select one or more locations. Pulls from the Service Location field on the General tab of the Encounter Maintenance window.
Include encounters in a billing holdSelect this check box to include unbilled and rebill encounters in the lookup results that have a Hold Until Date on the Billing & Collections tab of the Encounter Maintenance window.
Include encounters without chargesTo include encounters in the lookup results that do not yet have charges entered, select this check box. This check box is selected by default.
Include only rental billing encountersThis check box appears only if the Enable Recurring Rental Billing option is selected in encounters in Practice Preferences.

Select this check box to include only encounters in the lookup results that have the Rental check box selected in the Billing & Collections tab of the Encounter Maintenance window.

Include encounters pending approvalThis check box appears only if the Enable Include encounters pending approval option is selected in Encounters in Practice Preferences.

To include encounters in the lookup results that are pending approval, select this check box. This works in conjunction with Task Types in File Maintenance that are set up with a source type of transaction and auto-create parameters based on transaction type and amount.

Encounter SpecificTo find encounters using a specific encounter-level User-Defined Field (UDF), select the field.
Encounter Specific ValueTo find encounters with a specific value entered in the selected Encounter Specific field. Pulls from the selected UDF field on the Encounter Specifics tab in the Encounter Maintenance window.
Encounter Created ByTo find encounters created by a specific user, select the user.
Charge Created ByTo find encounters with charges created by a specific user, select the user.
Chg Create Dt FromTo find encounters with charges created within a specific create date range, enter a start date.
Chg Create Date ToTo find encounter with charges created within a specific create date range, enter an end date.
Charge Batch InfoTo find encounters with charges that have a specific batch name, enter the batch name. Pulls from the Batch field on the Charge Posting window.
Enc Create Dt FromTo find encounters created within a specific date range, enter a start date.
Enc Create Dt ToTo find encounters created within a specific date range, enter an end date.
Anesthesia ProviderThis field appears only if an Anesthesia Library is selected in Libraries of Practice Preferences.

To find encounters with a specific anesthesia provider, select one or more providers. Pulls from the MD Anesthesia field on the Encounter Maintenance window, and the MD Anesthesia and Rendering fields on the Charge Posting window.

Select the flashlight button to access the Provider Lookup window to find anesthesia providers using the following search criteria:

  • Last Name
  • First Name
  • Middle Name
  • City
  • State
  • Zip
  • National Provider ID
  • Provider Type (Default = Anesthesia Provider)
  • Provider Sub-grouping
Date of Service FromTo find encounters with charges that have a specific date of service range, enter a start date.
Date of Service ToTo find encounters with charges that have a specific date of service range, enter an end date.
Primary PayerTo find encounters with a specific primary payer, select the payer.
Claim NbrTo find a specific encounter by claim number, enter the claim number.
Program This field appears only if you select the Enable Programs option in Practice Preferences > Programs.

To find encounters linked to a specific program, select one or more programs. Pulls from the Program field in the General tab of the Encounter Maintenance window.

Patient GroupTo find encounters for patients in a specific patient group, select a group from the list, or select the flashlight button to use the Patient Group Search window to search and select a group.

Patient groups, group appointments, and group encounters are used with group scheduling in NextGen® Enterprise PM. For more information on group scheduling, refer to the Appointment Scheduling User Guide for NextGen® Enterprise PM .
