Aging Dates

Create Date: Aging is based on the charge Create Date, which is captured during charge entry for each line item and reflects the date the charge was created or entered on the Charge Posting window. The date is equal to the current system date and it cannot be modified. Date of Patient Responsibility: Aging is based on the encounter Patient Responsibility Date, which is captured when all remaining charge line item balances on an encounter have been settled to the Pat Amt (patient amount) bucket in the Balance Control window. The Ins1 Amt, Ins2 Amt, and Ins3 Amt (insurance amount) buckets must be $0.00. The date is equal to the current system date and it cannot be modified. However, the date is removed if any charge line item balance on the encounter is settled back to the Ins1 Amt, Ins2 Amt, or Ins3 Amt buckets in the Balance Control window. Charge and Transaction Dates

Charge Create Date: The date captured during charge entry for each line item and reflects the date the charge was created or entered on the Charge Posting window. The date is equal to the current system date and it cannot be modified. Charge Service Date: The date captured during charge entry for each line item and reflects the date the service was rendered. The date defaults to the Charge Posting window from the Billable Date field on the Encounter Maintenance window. The date can be modified either before or after the practice closing process. Charge Process Date: The date captured during the practice closing process. For Auto Close, the date is the same as the current system date unless the process date was overridden (backdated) on the Charge Posting window. For Manual Close, the date is the Current Process Date displayed on the Practice Closing window unless the process date was overridden (backdated) on the Charge Posting window. Encounter Maintenance

The Create Encounter and Encounter Maintenance windows include specific information related to an individual patient encounter. The window includes the following tabs: General Clinical Billing & Collections Encounter Specifics UB Claims Marketing Properties History The following fields are available at the top of the Create Encounter and Encounter Maintenance windows: Field Description Billable Date This is the date of the encounter. If the encounter is created from an appointment, the Billable Date defaults to the appointment date. Otherwise, the date defaults to the current system date and can be modified if needed. Billable Time This is the billable time for an encounter. The billable time is set to 12:00 AM by default. The billable time changes to the current system time if you select the Default Enc Billable Time to System Time check box in the Encounters preference on the Practice Preferences window. Components of Encounter Information

The following table describes the fields that appear in the Encounter Information section when you select an encounter from the Encounters section: Field Description Encounter Nbr Displays the system-assigned encounter number. Encounter Date Displays the Billable Date entered for the encounter on the Encounter Maintenance window. Encounter Status Displays the current status of the encounter. An encounter can have any of the following status: Unbilled Billed Rebill In Progress Bad Debt History First Bill Date Displays the date when the encounter first went through the billing process in NextGen® Enterprise PM. Last Bill Date Displays the date when the encounter last went through the billing process in NextGen® Enterprise PM. Patient Type Displays the patient type specified for the encounter on the General tab of the Encounter Maintenance window. Set Up and Bill a Single Encounter

When creating an encounter for recurring billing, you must set up the encounter to activate the automated billing for the single encounter. Access the applicable encounter. The Encounter Maintenance window opens. Enter the date the illness/injury began in the Onset Date field. This is a required field for the initial encounter for recurring billing. Enter the date the patient is discharged from therapy in the Discharge Date field on the General tab. This field is required for a single encounter in a series. Enable the Initial Enc in Series check box. Note: This field displays only when the Type of Facility and Bill Classification fields are set up in Practice Preferences. Select OK. Add the appropriate charges. Note: The revenue codes, which are attached to service items, must be set up before posting charges on the Charge Posting window in order for recurring UB billing to be recognized. Bill the encounter. After the billing process is complete, a single claim in a series is generated

On the Patient's Chart highlight the initial encounter and double-click. The Encounter Maintenance window opens. Enter the date the illness/injury began in the Onset Date field. Note: This field displays only when the Type of Facility and Bill Classification fields are set up in Practice Preferences. Select OK. Add the appropriate charges.
