Apply a Credit to a Posted Batch on the Same Day

You cannot delete a payment after it has been posted. You can void a transaction that has posted but has not settled on the same day. If you attempt to apply a credit before the credit card company has settled the transaction, you must void the original transaction for the full amount. Set the batch as an active batch. Open the Patient Chart. Select the Encounter tab and then select the Transactions tab. Select the encounter with the posted transaction. Right-click the transaction and select Credit Card Credit. The application displays a message indicating that the electronic transaction has not been settled and cannot be credited, and the full amount of the original sale will be voided. To void the original transaction for the full amount, select Yes. The application credits the transaction and the transaction processor (TransFirst or InstaMed) voids the transaction. Apply an Encounter Unapplied Credit during Charge Posting

Before applying an encounter-level unapplied credit during charge posting, you must set an active batch. You can enter the offsetting system adjustment transactions in the active batch. You can view the transactions in the Transaction Ledger window. Open NextGen® Enterprise PM. Select Posting. The Batch Posting window opens. Right-click the selected batch, and then select Open. The Payment Entry window opens. Enter a patient payment on the encounter, and then select Save. Select Encounter. An encounter-level unapplied credit is created, and you can view the patient payment in the Transaction Ledger. Open the Charge Posting window during check-out for the same encounter. A message appears stating that Unapplied Payments: Encounter [n] has a [$n.nn] credit available. Close the message. Enter the first charge on the encounter and then select Next or Save. Applying Patient Payments towards the Encounter Balance

The application does not automatically create a negative patient balance for a patient when applying a co-payment or any patient payment. Instead, the payment is applied to the insurance bucket with a balance. It is then applied to the other insurance buckets until their balances are zero. When all insurance buckets equal zero, any remaining dollars are moved into the patient bucket. If the patient bucket has a zero balance, a negative balance is created. Create an Unapplied Credit Amount

When a patient has an encounter scheduled and their insurance requires a $15 co-payment, and they want to pay in advance towards that encounter and any future charges, you can go ahead, prior to charges being entered, credit this patient with a payment. On the Payment Entry window, in the Payer field, select Patient. In the Pay Amt field, enter the $15 payment and select Save. A message appears notifying you that an unapplied credit amount will be created. This message indicates that no current charges are applied to the encounter. Apply the unapplied credit amount to either the encounter or the account. In this scenario the best option is to apply the unapplied credit amount to the encounter. The credit can then be used against charges that are applied to the encounter at a later date. Applying Encounter Unapplied Credits in a Batch

You can create an unapplied encounter credit when the amount in the Payment field is greater than the amount in the transaction detail for a patient-pay transaction. You can process an encounter unapplied credit in a batch on the Unapplied Encounter Credits window. You can limit the number of encounters to process in the batch by selecting Unapplied credit encounter limit in the Transactions tab on the Practice Preferences window. The default numeric value is 100. You can select any numeric value from 1 to 1000. Note: When the number of encounters in the Unapplied Encounter Credits window equals the process limit, a message appears indicating that the query is truncated based on your unapplied credit encounter limit set in the practice preferences. You can run the process again for additional transactions in a separate batch. You can also configure the BBP process to post balanced batches. Create a Credit Balance with an Unapplied Account Credit

If an unapplied credit is never associated directly to a charge, you can apply an unapplied credit as an adjustment or a payment. Create a transaction item for the encounter. Select the Use Account Credit check box. The Payer field displays Patient and creates an adjustment of $50 with the adjustment code of Applied Account Credit. Note: After you select the Use Account Credit check box, the Adj Code field automatically displays a system-generated transaction code. You cannot change the code. This prevents balancing problems by generating a transaction code to offset the original transaction code. The application creates another transaction of negative $50 with the transaction code Applied Account Debit and tracking description of Debit to Account for Usage of a Credit Balance.
