Budget Plans

A budget plan is a financial arrangement made between the practice and an account guarantor. In this arrangement, the guarantor agrees to make the scheduled payments against their outstanding balance until the balance is paid in full. There are two methods for billing accounts on budget plans, Budget Letters and Budget Statements. Each practice must decide the method of billing as it directly impacts the required setup. Setting Up Budget Plans You can set up Budget Plans in File Maintenance. Add a Perpetual Budget Plan to an Account You can use the Budget tab under the Account Profile window to add a perpetual budget plan to an account. Add a Non-Perpetual Budget Plan to an Account You can use the Budget tab on an Account Profile window to add a non-perpetual budget tab to the account. Creating Person Accounts

A person account is automatically created when a person is selected as the guarantor on a patient’s encounter for the first time. If needed, you can also manually create an account for a person before selecting that person as the guarantor on a patient’s encounter. You can create a person account from the People Lookup and Patient Lookup windows. Note: To create a person account, the person must have an existing demographic record, or a new demographic must be created. Creating a Person Account

When you select a person as the guarantor on a patient’s encounter for the first time, the person's account is automatically created. You can manually create a person account before selecting that person as the guarantor on a patient’s encounter, if needed. Viewing Account Summary Information

You can view information associated with a patient's financial responsibilities on the Account Summary tab under the Account Profile window. The Account Summary section displays all the transactions, and the Summary Information section displays the totals for each encounter. You can filter the list of encounters in the Account Summary section using the same Filter Options window as the patient chart. You can use one or more of the following filter options: Rendering Physician Encounter Location Encounter Primary Payerr Tracking Description Encounter Statuss Date range Self-Balance Note: Two additional filter options Tracking Description and Show Account Unapplied Payments Only, are available for filtering the account summary Filter Options window. Managing Account Encounters Details

The Encounters Detail tab of the Account Profile window contains a list of all the encounters associated with a particular account. You can do the following on the Encounters Detail tab. View totals for accounts including the balance owed. View the total adjustments and charges for each of the patients. Filter encounters according to your preference. Pre-list encounters for sending to a collection agency and assigning a bad debt status. Reinstate encounters that have been previously pre-listed. Account Encounters Detail tab A folder appears for each patient under this guarantor. You can do the following to see more information for a selected encounter: Double-click the encounter to view the details of the encounter. Right-click in the first row of the Guarantor Information section to select the columns to display in the Guarantor Information section of the window. Add a Perpetual Budget Plan to an Account

A perpetual budget plan is a budget plan where the system automatically selects all existing encounters with a self-pay balance on an account and adds them to the budget plan. Future new encounters added to the account are also automatically added to the budget plan. Note: Encounters in Bad Debt status cannot be included in a budget plan. Open NextGen® Enterprise PM Select Account. The Account Lookup window opens. To search for a guarantor account, enter the fields in the Search Criteria section. Select Find. Accounts that match the search criteria appear in the Accounts List section. Double-click the guarantor account in the Account list. The Account Profile window opens. Select the Budget tab. Select the open menu button and select New. The Budget Details window opens. In the Budget Type field, select Perpetual. Note: The Default Budget Type defined in Practice Preferences > Budget Accounts determines which button is selected by default. The Budget Create Date defaults to the current
