Create a User Source Task
You can create tasks manually by using the Add Task window.
Note: The Task Subgrouping field(s) default from values assigned to Task type in File Maintenance. These fields are user-defined fields and likely will have a different name on your Add/Edit Task window. The label that displays for these Task Subgrouping fields are entered in Enterprise Preferences. The values for the fields that users can select are entered in the Task Subgroupings Master List in File Maintenance. The Task Subgrouping values enable users to categorize tasks into smaller, more manageable sub-groups.
- Access NextGen® Enterprise PM.
- From the Tasks menu, select Create Task.
The Add Task window appears.
The only field required by default is the Task Type field. You can set other fields to be required by the setting them up using the Tasks tab in Practice Preferences.
- Select the drop-down arrow in the Task Type field and select the desired task type. Only the task types that are applicable for the source type you have selected will be displayed.
- Select the TAB key to leave the default setting of Not Started and move to the next field. This field will be changed by the user assigned to the task.
- Select the drop-down arrow in the Priority field to select a priority level.
- Select the Tab key to move to the Subject field or position the pointer in this field and enter an appropriate subject.
- Select the drop-down arrow in the Assigned To field and select the group or user who you want to assign this task to or select the tab key to move to the next field.
Tasks must be assigned to a user so that user can view their own tasks. Tasks that are assigned to a group cannot be viewed by a user.Note: NextGen Healthcare recommends that you set up this field as a required field. It is the nature of this function for a task to be assigned to someone, so that there is someone expected to perform the work.
- Your practice may have some user-defined fields displaying on the Add/Edit Task window. If so, select the appropriate values for each field. If your practice has not set up these fields, their default names of Task Subgrouping 1 and Task Subgrouping 2 display on the window. See the explanation in the note above for more information.
- Enter the details of the task in the Details field. Use Ctrl-Shift D to add current date/time and signature. This is a free-form text field.
- Skip the Start Date field. A date will be entered by the user assigned to the task when he or she begins working on the task.
- Skip the Follow Up Dt field. A date will be entered by the user assigned to the task.
- Select the calendar button to select a due date or enter a date in the Due Date field in mm/dd/yyyy format to indicate when this task needs to be completed. The due date must be equal to or greater than the follow-up date.
- Select the calendar button to select an expiration date or enter a date in the Expiration Dt field in mm/dd/yyyy format to indicate the task is no longer in effect.
- Skip the Completion Dt, Completion Reason, and Completed By fields. These fields will be changed by the user assigned to the task.
- Check the Discontinue future Auto Creation of this Task Type check box if you want to eliminate this task type from the Auto Creation tab.
Note: Select the Hide check box to remove this task from tasks lists without deleting it.
- Select OK.
After a task is created, it displays in the Open Tasks assigned to this source window for the appropriate source.
