Print an Individual Recall Letter

An individual Recall Letter can be printed on demand for a patient from the following areas in NextGen® Enterprise PM: Appointment Book Appointment Lookup Window Patient Chart > Encounters Tab Checkin / Checkout AutoFlow Sequence > Patient Recall Note: Printing an individual recall letter on demand does not update the 1st/2nd/3rd Mailing Date for the recall in the patient's chart. Mailing dates are updated only if a letter is printed or exported in batch mode from the File > Print Forms > Letters > Recall Letters menu. Create an Archived Recall Letter

Do one of the following: Print an Individual Recall Letter Print or Export Batch Recall Letters Do one of the following: If the letters printed or exported correctly, select Yes. An image of each recall letter is now archived in the Patient Chart, on the Clinical History/Notes tab, in the Letters folder. View an Archived Recall Letter from the Patient Chart

Access the Patient Chart for the desired patient. Select the Clinical History/Notes tab. From the Topics list, expand the Letters folder, and then select on the Recalls folder. The section on the right displays the Date/Time, Creator, Letter Name, and Description for each recall letter that has been archived. Double-click to open the desired letter. Note: Archived letters cannot be reprinted. Therefore, the Print Dialog and Quick Print buttons are not available on the letter preview toolbar. The Letter Preview window opens. View an Archived Recall Letter from the Patient Recall Window

Access the Patient Recall window for the desired patient. Select the recall plan for which the letter is to be viewed, and then do one of the following: Select the Open Menu button and select View from the menu. Right-click and select View from the menu. Select the Letters button and select View from the menu. Note: The View menu is available for selection only if the Archive Letters > Recall check box is enabled in Enterprise Preferences > General. From the View menu, select one of the following: 1st Letter Sent 2nd Letter Sent 3rd Letter Sent Only letters that were previously generated and archived can be selected from the View menu. If a letter has not yet been archived, the menu option to view that letter is grayed-out and unavailable for selection. The Letter Preview window opens. Archiving Appointment Reminder Letters

Appointment reminder letters can be archived when they are printed or exported so that an image of a letter is stored and available for viewing in the Patient Chart. Once a letter has been archived, the image can be viewed, but it cannot be reprinted or deleted. Note: Appointment Reminder letters have a Reset Print Date option that can be used in the event a batch of letters needs to be reprinted or exported. If a batch is reset and then reprinted/exported, the original archived letter image is removed and no longer stored. Only the new image resulting from the reprint/export is stored and available for viewing. Recall Letters

Recall letters are the mechanism used in NextGen® Enterprise PM to remind patients with an active recall plan that they are due to return to the practice for a particular type of appointment. The frequency of letters is determined by the setup in File Maintenance. Letters are created in the Letters master file for each practice. The letters are then linked to specific recalls in the Recall Plans master file. You can print a single recall letter for an individual patient on demand, or you can print multiple letters in a batch for all patients that qualify for a letter. Note: Recall letters can be created in File Maintenance in multiple languages and then printed in NextGen® Enterprise PM based on the Correspondence Language selected in the patient's demographics.
