Button	Description
Clear	Select to clear the Search Criteria entered.
Find	Select to display a listing of patient appointments matching the Search Criteria entered that have qualified for an appointment reminder letter.
Update Dates	Select after printing or exporting appointment reminder letters to update each patient's chart with a letter date and time.
Export	Select to export the selected appointment reminder letters to an ASCII formatted file that will be sent to a third-party vendor for processing (printing and mailing).
Preview	Select to preview the selected appointment reminder letters on the screen prior to printing/exporting them.
Print	Select to print the selected appointment reminder letters to paper.
Reset	Select to reset the print date so a batch of appointment reminder letters from a specific date can be reprinted.
Close	Select to close the Appointment Reminders window.

Reset Print Dates for Batch Appointment Reminder Letters

When a batch of appointment reminder letters is printed or exported and the Update Dates button is selected, each patient's chart is updated with the date/time the letter was generated. At that point, all appointments in the batch no longer qualify for a letter. There may be situations where a batch of appointment reminder letters needs to be reprinted. For example, a batch was printed in error, there was a printer or paper problem, or there was an issue with the export file. If it is necessary to reprint a batch of letters, the print date must be reset, or cleared, so the appointments in the original batch will again qualify for a letter. From the File menu, select Print Forms, then Letters, and then Appt Reminders. The Appointment Reminders window opens. Select the Reset button. Print or Export Batch Appointment Reminder Letters

Patients with appointments qualify for letters based on the Days in advance of scheduled date to print reminders setting in Practice Preferences > Appt Scheduling. For example, if a patient's appointment is scheduled for 06/01/2016 and Practice Preferences is set to 10 days, the patient qualifies and is added to a letter queue on 05/22/2016. Other patients may qualify and be added to the letter queue on a daily basis. Because of this, appointment reminder letters should be monitored and printed/exported regularly. The number of appointment reminder letters in the queue can be monitored from the Letters section on the Advisor window in NextGen® Enterprise PM. From the File menu, select Print Forms, then Letters, and then Appt Reminders. The Appointment Reminders window opens. Archiving Appointment Reminder Letters

Appointment reminder letters can be archived when they are printed or exported so that an image of a letter is stored and available for viewing in the Patient Chart. Once a letter has been archived, the image can be viewed, but it cannot be reprinted or deleted. Note: Appointment Reminder letters have a Reset Print Date option that can be used in the event a batch of letters needs to be reprinted or exported. If a batch is reset and then reprinted/exported, the original archived letter image is removed and no longer stored. Only the new image resulting from the reprint/export is stored and available for viewing. Do one of the following: Print an Individual Appointment Reminder Letter Print or Export Batch Appointment Reminder Letters After selecting the Print or Export button, the following prompt displays: Did the letter(s) print/export correctly? Do one of the following: If the letters printed or exported correctly, select Yes. An image of each appointment reminder letter is now archived in the Patient Chart, on the Clinical History/Notes tab, in the Letters folder. Printing from Appointment Confirmation window

From the Appointment Book, select the resource, date and time slot for the new appointment. Do one of the following: From the appointment toolbar, select the Add Appt button. Right-select on the time slot and select New from the menu. Double-click on the time slot. The Add Appointment window opens. Complete all fields required to complete the new appointment. To save the appointment, Enter OK. Note: The Appointment Confirmation window opens only once, and only if the Show appointment confirmation after scheduling appointment check box is selected in Scheduling User Preferences > General tab.
