Set Up Open Case Alerts

The Case Management system alert displays a list of all open cases on the patient's chart. The list includes the case description, case employer, onset date and case status (active or inactive). The alert appears when you access a patient that has a case within the chart. The NextGen® Enterprise PM employer alert is based on information on the Notes tab in the Employer master file. The information in the field is used as an alert when the employer is assigned to a case. The notes also appears as read-only text in the Employer Notes section of the Case Management window in NextGen® Enterprise PM. Access the Practice Preferences window and select the Alerts tab. Alerts for Case Consolidation

The following alerts appear when the user selects OK on the Financial tab of the Case Management window. Encounter Dates - The expiration date in the CSC Program window is not required. The application verifies that the encounter dates are prior to the CSC Program date. Alerts are activated when: A case with a Case Consolidated Claim Program is attached and the status is set to close. The case status is closed with no expiration date. When you try to attach a billed encounter to a case with a Case Consolidated Claim Program attached. Set Up Employer Alerts

Employer alerts are for Workers' Compensation cases. An employer alert is based on information on the Notes tab in the Employer master file. The information in the Notes field is used as an alert when the employer is assigned to a case. The notes also appear as a read-only text in the Employer Notes section of the Case Management window in NextGen® Enterprise PM. In File Maintenance, select System > PM > Employers. The Employers List window opens. Select or create an employer. The Employer Maintenance window opens. On the Employer Defaults tab, in the Note field, enter the case-related information. Select OK. Case Consolidation Claim Edits

Build level claim edits and a warning message can appear on the Claim Production report when the following scenarios occur: Build Level Claim Edits Case is not complete. Encounter date is after the CSC program expiration date. Warning Message Program payers do not match on the encounters and the case. The following table describes the claim edits, warning message, help text, error applicable to, and the claim field. Claim Edit or Warning Message Description Applicable To Claim Field Case is not complete Case with Case Consolidated Claim Program incomplete for Candidate Encounter (list candidate encounters). Claim Data 2400 DTP Encounter date is after CSC program expiry date Remove encounter from CSC Program Case or change dates so that Encounter date falls within CSC Program effective dates. Claim Dates 2300/2400 DTP Case Consolidated Claim Program payers do not match on Encounter and Case. (Warning Message) All claims for a Case CSC Program must have the same payers on all encounters

Authorization Alerts

Authorization Alerts can be enabled in Practice Preferences. If enabled, alerts will display to users when an authorization for a patient’s insurance has less than a specified number encounters or units remaining. The alerts display during appointment scheduling, encounter insurance selection and charge posting. For more information about authorization alerts, refer to the Alerts Practice Preferences section in the File Maintenance Preferences Guide for NextGen® Enterprise. Signature Alert Configuration

Signatures indicating that the information on the encounter has been reviewed is an important component to the billing functionality and the documentation of team collaboration. The Behavioral Health signature functionality includes a setting to alert the user if at least one of the staff or provider has not documented their signature. If enabled, a practice-level setting will fire an alert if at least one of the staff or provider signatures is not recorded. The configured alert is prompted upon document generation. This alert does not apply to Patient, Individual, or Parent/Guardian signatures. The Behavioral Health template set also includes a Send Task button to notify the next person in line who is required to sign-off on the visit's documentation.
