Add or Modify a Weekly Template
You can add a weekly template or edit the existing weekly template for a resource.
- In NextGen® Enterprise PM, select Admin > Scheduling Admin.
Note: When you select the Enable Enterprise Appointment Scheduling option in Practice Preferences window, the Scheduling Admin option on the Admin menu displays the following two options:
- Enterprise
- Practice
The Scheduling Administration window opens. - Select the Weekly Templates tab.
- Do one of the following:
- To add a weekly template, select the open menu
button, and select New.
- To modify an existing weekly template, select the template in the list, select the open menu
button, and select Open.
The Add Template or Edit Template window opens. - To add a weekly template, select the open menu
- In the Template field, enter a name for the template. The name appears in the Appointment Book window at the top of the resource's schedule column in Weekly Schedule View and Multi-View. This is a mandatory field.
- In the Associated Color field, select the open record
button.
The Color window opens. - Select a color to display on the resource's calendar after the template is applied to specific weeks, and select OK.
Note: You must not select red as a template color. Red is the default color used for template exceptions applied to a resource's calendar.
- In the Daily Template field, select a daily template, from Scheduling Administration > Daily Templates tab, to be applied to one or more days within the weekly template. This is a optional field.
- The Time Interval field defaults to the Default Time Interval defined in the Appt Scheduling tab of the Practice Preferences window.

Note: This field displays only when you select the Allow interval overrides option in the Appt Scheduling tab of the Practice Preferences window.

Note: You can change the time interval for the template:
- 5 minutes
- 10 minutes
- 15 minutes
- 20 minutes
- 30 minutes
- 60 minutes

CAUTION:The time interval for the template must be the same as the time interval defined for the resource for which the template is being created. If the time intervals are not the same, the template cannot be applied to the resource's calendar.

Note:
- The time interval can only be changed while creating a template. The time legends on the left and right sides of the template change to reflect the new interval.
- When creating a template, if the time interval is changed after categories and locations or both are applied to the time slots, a message appears stating changing the time interval for the template removes the template settings, including categories, locations and slot over booking. You need this information after you set the new interval.
- After a template is saved, the time interval cannot be modified. If you selected a wrong interval, you must delete the template and re-create it with the correct time interval.

- In the Category field, select a category to be applied to a specific time slots on the template. The Color field automatically displays the background color defined for the category in Scheduling Administration > Categories tab.
- In the Service Location field, select a location to be applied to a specific time slots on the template. The Color field automatically displays the color defined for the location in File Maintenance > Locations master file.
Note: The locations with the Display in Schedulingoption selected in the Locations master file are listed and available for selection.
- Select the time slots on the template and do one of the following to apply the selected category and location:
- Select a time slot and then drag the mouse to highlight the desired block of day or time slots.
- Select a time slot and use the shift and arrow keys on the keyboard to highlight the desired block of day or time or location slots.
- Right-click the selected time slots and then select an option from the context menu.
- Repeat the steps 9 through 12 as needed to complete the template.
- In the Notes field, enter any additional text notes for the template.
Note: This field is not used anywhere else in the system and is for informational purposes only.
- Select the Hide Weekly Template option to hide the existing template.
- Select OK to save the changes and close the window.
The Scheduling Administration > Weekly Templates tab displays all existing weekly templates.
