Add an Insurance Authorization

  1. From the Ins/Diag tab, select the insurance for which an authorization is to be added.
  2. Right-click and select New Authorization from the menu.
    The Authorization Code Tracking window opens.

  3. In the Authorization Mode section, select one of the following:
    • Encounter Mode: Select this button if the authorization is approved for a specific number of encounters. This button is selected by default.
    • Units Mode: Select this button if the authorization is approved for a specific number of charge units.
  4. If the authorization is for tracking proposes only and should not be included on claims, select the Tracking Only - Do not send on claim check box.
  5. In the Authorization Code field, enter the authorization number obtained from the insurance company. This field is required.
  6. In the Effective Date field, enter the start date for the authorization. This field is required.
  7. In the Expiration Date field, enter the end date for the authorization. This field is required.
  8. In the Nbr Encounters field enter the number of encounters approved for the authorization. This field is not available for Units Mode authorizations.
  9. The Used field displays 0. The number increments by 1 each time the authorization is linked to an encounter. The number cannot exceed the number in the Nbr Encounters field.
  10. The Pending field displays 0. The number increments by 1 each time an appointment is scheduled for the patient. The number cannot exceed the number in the Nbr Encounters field.
  11. The Encounters Left field defaults to the number entered in the Nbr Encounters field. The number decrements by 1 each time the authorization is linked to an encounter.
  12. In the Rendering field, select one or more rendering providers for the authorization, or leave blank if any rendering provider can be used with the authorization.
  13. In the Location field, select a location for the authorization, or leave blank if any location can be used with the authorization.
  14. In the Specialty field, select a rendering provider specialty for the authorization, or leave blank if any provider specialty can be used with the authorization.
  15. In the Description field, enter a free-text description for the authorization.
  16. In the ICD section, enter one or more ICD code ranges for the authorization, or leave blank if any ICD code can be used with the authorization.
  17. In the CPT4 section, do one of the following:
    • Encounter Mode : Enter one or more CPT4 code ranges for the authorization or leave blank if any CPT4 code can be used with the authorization.
    • Units Mode : This section is required and at least one CPT4 code must be entered.
      • Enter one or more CPT4 code ranges for the authorization.
      • In the Nbr Units field, enter the number of charge units approved for the authorization for each CPT4 code range.
      • The Units Left field defaults to the number entered in the Nbr Units field. The number decrements by 1 each time the authorization is linked to an encounter with a charge that falls within the CPT4 code range.
  18. In the Notes field, enter additional free-text information for the authorization.
  19. To save changes and close the window, select OK.
    The authorization is added and displays below the insurance.
