Set Up Tax Rates

In the CPT4 Codes master file, define a CPT4 code to use as a tax line item charge. For example, you could define procedures for state sales tax, city sales tax, country sales tax, and local sales tax. You must define codes to use as tax charges for the default Tax Rate library. Note: You will need to create SIM codes for each level of sales tax, such as state, country, local, that could apply. Five levels of locality tax rates are as follows: State Tax % County Tax % City Tax % City Local Tax % County Local Tax % If necessary, define codes to use as tax charges for specific locations that will not use the default Tax Rate library (for example, locations within states that apply tax rates according to unique tax rules for that location). In the Service Items library that will be used when charges are posted for the practice, create a new SIM if necessary (or select an existing one) and attach the tax rate CPT4 code from step 1 to the SIM in the CPT4 Code field. Charge Posting Overview

On the Charge Posting window in NextGen® Enterprise PM, you can enter new charges or modify existing charges on patient encounters or company invoices. A charge is any service or procedure that is rendered to a patient by a provider within the practice. All charges include the following fields. Service Date Service Item (SIM) Code CPT4 Code Quantity Unit Price Diagnosis Codes Rendering Provider Place of Service Location Access the Charge Posting Window You can open the Charge Posting window to enter or modify Charges. Charge Posting Toolbar Charge Posting toolbar enables you to access icons to perform different actions, while working with charges. Navigating the Charge Posting Window You can use hot-key commands to navigate the charge posting window. Tax Exemption Library

Use the Tax Exemption library to define the following: Tax exemption status for each financial class and SIM for each applicable state Which sales taxes apply for specific SIMs within different locations You can create up to four sales tax exemptions for each location. The four exemptions correspond to the Tax Rate Percent fields you can set up in the Tax Rate library. The system will exempt taxes that are selected for exemption regardless of the number of taxes that set for the location. For example, if 3 taxes are exempted for a location but locality tax only has 2 total taxes to be generated, the 3 taxes slated to be exempt will remain exempt. Taxes Practice Preferences Descriptions

The following table provides descriptions for the fields found in the Taxes Practice Preferences. Field Description Enable Tax Charges You can select this check box to enable tax rate charge functionality in the practice. If you select the check box, you can select an applicable Tax Rate Library at the Practice level by selecting a library in the Tax Rate Library field. Location level by selecting a library in the Locations master file > Defaults 2 tab > Tax Rate Library field. Tax Rate Library Select the default tax rate library that will be used by the practice. Enable Tax Exemptions If you selected the Enable Tax Charges check box, you can select the Enable Tax Exemptions check box to enable tax exemption functionality. If this option is selected, the Tax Rate Configuration settings for payers and service items of every tax rate library become disabled and cannot used. Location Tax

Use the Location Tax master file to enter the sales tax rate on NextGen Optical Management-related items for a location. From the Master Files - Optical Management list, select Location Tax. The Location Tax List window opens with all of the locations listed from the Locations master file. To add or modify sales tax rate, select the location in the list, select Open Menu, and then select Open. The Location Tax window opens. In the Tax column, enter the sales tax rate for each category item. You can specify up to three digits after the decimal point for the tax rate. If you want to hide the item in the list or remove it from tax calculations, set its value to 0.000%. Select OK. Parent topic: Master Files - System

Service Items Library

The Service Items library is the center of the billing functions. Within the Service Items library you can set up CPT4 codes for each practice, along with prices, and claim form designations. You can also group Service Items together under one main number or name. Libraries are available enterprise-wide, but each practice must designate which Service Items library to use by selecting it in the Libraries Practice Preferences. You can generate the Service Item Library Listing report from the Service Items library.
