Set Up Account Alert Tasks in Auto Worker

You can set up tasks that cause an account alert to display each time certain conditions are met. These tasks are automatically worked based on the Auto Worker action Create account alert with subject<>, expiration date<> and description<>. This action can be added to any task type that has an Account or Invoice source type. The action automatically creates an account alert for the source type and marks the task as completed. The completed task then displays in the Worklog and on the Edit Task dialog box in NextGen® Enterprise PM.

To set up a task to create account alerts, perform the following steps:

  1. Open or set up new task types.
  2. On the Task Types dialog box, select the Auto Creation tab.

  3. In the Source Type field, select Account or Invoice. This is a required field.
A list of task action descriptions for that source type display in the Action column. The items in the list represent events that occur in the application that can be selected to automatically generate tasks.

  4. Select the drop-down arrow in the Default Assigned To for all selected actions and select who you would like to assign this task to.
  5. Select one or more Actions by selecting in the Activate column to the left of the action.
A green check mark displays in the Activate column.
  6. Right-click in the Action column to enter a value, if applicable.
  7. If you want to override the default user or group that the tasks are assigned to, then right-click in the Override Assigned To field, and then select Open to select a new user or group.
  8. Select the Auto Worker tab.

  9. In the Activate column, select the Create account alert with subject <Unknown>, expiration date <_/_/__> and description <Unknown> action.
    A green check mark displays.
  10. Right-click in the Action column to enter values for the following:
    • Parameter 1 – (Required) Enter the subject that will appear as the alert heading.
    • Parameter 2 – Enter the expiration date. Account alerts will no longer be created after this date.
    • Parameter 3 – Enter the alert description that displays below the alert heading.
A task is generated each time the conditions specified in the Auto Creation Action column occur.
