Set Up Document Types

Document types provide a specific classification for documents and images. Since you must assign document fields to document types, you should create your document fields before you create the document types. For information on setting up document fields, go to NextGen Healthcare Success Community and download the latest User guide for NextGen Document Manangement and see Set Up Document Fields. Note: NextGen Healthcare recommends that each document type has one Person Number key field associated with it to serve as a unique identifier. Therefore, to associate a person number to each document type, in the Document Type Information window at File Maintenance, select the Potential Order Result check box and mark the Person Nbr field as Required. In File Maintenance > Master Files, select System or PM or Document Management, and then select Document Types. The Document Types List window opens. Quick File Hot Keys

The Quick File Hot Keys master file enables you to configure the Quick File entries that appear at the top of the File window when Quick File is activated in NextGen Document Management. Each entry you make in the Quick File Hot Keys master file contains the predetermined filing information that you can apply to a document or image by selecting the applicable Quick File listing. This saves you the time it would take to enter the filing information manually for each image in the batch. With the Quick File feature, you need to only select the appropriate Quick File listing for each document in the batch. To set up quick file hot keys: In File Maintenance, access Master Files > System or PM or Document Management > Quick File Hot Keys. The Quick File Hot Keys List window opens. Select the Open Menu button and select New. The Hot Keys window opens. Enter a name for the hot key in the Hot Key Description field. Note: The Hot Key Description field has a limit of 64 characters. Set Up the Quick File Configurations Master File

Before you begin To set up the quick file configurations master file, do the following: Set up Quick File Hot Keys. Permit quick file configurations for specific practices in the enterprise by selecting the Practice access for quick file configurations master file checkbox through the Enterprise Preferences window. In File Maintenance, assign quick file configurations to the practices. In NextGen® Document Management, select the Doc Mgmt tab of the User Preferences window, and then select a default quick file configuration to activate the Quick File feature. You can apply the selected configuration when you use Quick File to file a document. Note: To deactivate Quick File, select the <none> option in the Default Quick File Configuration field. A Quick File configuration is a profile that controls which Quick File hot keys are available to the user when they file a batch of images. You can assemble and arrange the Quick File Hot Keys into any configuration that the Quick File Configurat

Quick File Configurations

After you have created one or more Quick File Hot Keys, you can assemble and arrange the hot keys into the configurations that the Quick File Configurations master file enables you to create. For example, if there are six hot keys configured in the Quick File Hot Keys master file, you can create Quick File Configurations that use different combinations of the hot keys for different filing situations. You might only want to create a Quick File Configuration that uses only two of the available hot keys. Another Quick File Configuration that you create could use all six of the hot keys. A Quick File Configuration is a profile that controls which Quick File hot keys are available to the user when filing a batch of images. Note: There is a limit of 25 Quick File Hot Keys that you can include in a single Quick File Configuration.
