Location Information Field Descriptions

The following table provides descriptions of the fields located on the Location Information window.

FieldDescription
Location NameEnter a name, up to 40 characters, for the service location. The number of characters that display in the service location drop-down lists for this name depends on how the name is entered here. For example, if the service location name is entered as all capital letters, then fewer characters display compared to an entry of a combination of upper and lower case characters.
Address/ City/ State/ Zip/ Country/ CountyThe first space is for street number and name. The second space is for other address details such as suite number. If the ZIP code table is set up, you can enter the ZIP code, and the city, state, county, and country automatically display.
Phone/ExtEnter the phone number of the facility. The area code will default in from General Practice Preferences.
Contact Last Name/ First Name/ MIEnter the name of the contact person at the facility.
FaxEnter the fax number for the facility.
Fax ExtrasIf the location has an automated system used to access the fax machine, enter the number used.
Alt Phone/ Alt Phone Ext/ Alt Phone DescEnter an alternate phone number for the facility, if applicable.
Location TypeEnter one of the following HL7 Codes to indicate the kind of location:
N – Nursing Unit

R – Room

B – Bed

E – Exam Room

O – Operating Room

C – Clinic

D – Department

L – Other Location

External IDUse this field if you use a third party system.

Enter the external ID, which is a key for other applications to use when mapping fields. When another application needs to pull data from NextGen® Enterprise PM, the external ID identifies the NextGen® Enterprise PM file where this information exists. The other application can then access the file, pull information that it needs, and put it into a corresponding field. The External ID field is set up as an alphanumeric field.

Associated ColorSelect the color to associate with the location. When users create appointment book templates in NextGen® Enterprise PM, the color indicates the location of the appointment.
Patient SIM ExceptionSelect a SIM exception to use its associated fee schedule when a patient has no insurance. The patient is then set as self-pay.
Place of ServiceYou can select a default Place of Service. This default displays on the Charge Posting window. Whether this location does facility or non-facility billing depends on if the place of service is a facility.
Internal LocationIf you use NextGen® Enterprise EHR and want to make the location available so it can be applied to a provider, select this check box to indicate that the location is internal. Clear the check box if the location is not internal.

To enable cross-referencing between providers and locations, select the Use link between Location and Provider check box on the Medical Records tab in NextGen® Enterprise Preferences ( NextGen® Enterprise EHR > Edit > Preferences > Medical Records tab)

Display in SchedulingSelect this check box to have the location display in NextGen® Enterprise PM as a Service Location option when a user schedules an appointment.
Facility LocationBy default, each location is considered as an office within the practice where services are to be rendered. If the location is not a practice office, you can set it up as a facility, which is a location that is not part of the practice, but from which you need to bill services, such as nursing homes or hospitals used for consultations.

If you want the location to appear as an option in the Facility list in the Create Encounter and Encounter Maintenance windows, select this check box and also select the HCFA Box 32 check box on the Claim Type tab of this dialog box.

Select this check box when you want the location to be used for UB claim processing.

Dial Area CodeSelect the check box to have the area code automatically dialed before the number.
Optical LocationSelect this check box to indicate that users can select this location in NeNextGen® Optical Management. If the check box is not selected, NextGen® Optical Management does not use the location.
Enable Comment For Search AheadSelect this check box to enable the Directions field so you can edit it and to make the directions available in the Appointment Search Ahead timeslot results.
Location DesignationSelect the kind of services performed at this location. The selections come from the Location Designation code table. The default selections are:
  • <none>
  • Emergency Care
  • Medical Specialty
  • Primary Care
  • Urgent Care

If the location performs multiple distinct services, set up multiple NextGen locations and set the Location Designation field for each location. For example, if the location performs primary care and urgent care services, set up one location with the Primary Care designation and set up a second location with the Urgent Care designation.

The designation is not managed by NextGen® Adaptive Content Engine templates and cannot be changed during the visit.

When an interface attempts to send a syndromic surveillance message, it uses the location from the visit and sends the code value of the location designation in the HL7 message.

Additionally, in the case multiple location designations, you might find it helpful to name each location to reflect its visit type and for easy identification for scheduling, charges, and so on. For example, “Eastside Urgent Care” and “Eastside Primary Care”.

Location Subgrouping 1 (User-defined field)Select one of the location subgrouping category types that you want to use as a reporting filter for this service location. Subgroupings enable you to pull report information by subgroups or logical categories, such as the north side of town. This reporting structure enables you to produce reports that cross-section data. It also enables you to avoid the time-consuming process of rebuilding a memorized report to incorporate changes.
Location Subgrouping 2 (User-defined field)Select one of the location subgrouping category types that you want to use as a reporting filter for this service location.

DirectionsWhen this field is enabled, you can enter directions to the location. The directions display in the Appointment Search Ahead results when the user holds the cursor over an available time slot.
PracticesYou can select the field, then select the practices that this location is assigned to. If this location was assigned to a practice in the Practices master file, the practice is already selected in this field.
