Letters

Use the Letters master file to set up patient letter templates. You can use it to set up letters for budget plans, recall, and patient-specific or account-specific items. After the letters have been set up, they can be previewed, printed, and exported. Letters are discussed in detail in the Forms, Letters, and Labels chapter of the User Guide for NextGen® Enterprise PM. Budget Accounts Practice Preferences

The Budget Accounts Practice Preferences enable you to set up default parameters for budget plans for your practice. Budget Communication: You can select the method of communication your practice will use to create budget related notifications. Budget Letters: This option enables NextGen® Enterprise PM menu, File > Print Forms > Letters > Budget Letters. Budget letters communicate information about a plan in a separate letter. If you select this method, you can select the default letters to print for budget plans. You can select a default letter template for each type of letter. When you print these letter types in NextGen® Enterprise PM, you can choose to use the default template or any other template. Budget Statements: This option enables the NextGen® Enterprise PM menu path: File > Print Forms > Budget Statements. Budget statements communicate dunning messages about a budget plan as additional information printed on the guarantor's statements instead of as a separate letter. If you

Create Letters

You can create letters in NextGen® Enterprise PM using specific letter types. In File Maintenance, select Master Files > Practice > Letters. The Letters window opens. Select the letter type you want to create in the Letter Type list. Note: If you want to create a new letter based on a letter that already exists in the system, select the saved letter you want to copy. To edit the letter type, select Edit > Letter Types. The Letter Types window opens. Select the letter type, and then select OK. Right-click and select New. The Edit Appointment Reminder Letter window opens. Note: The text editor has features common to other text editor applications that you might have used before. Use the following methods to design the letter: Enter free text at the current cursor location. Right-click and then select the field you want to insert. Note: On Microsoft Windows Vista ® or higher, when you right-click the letter to open the shortcut menu to add fields, the toolbar hides. The toolbar reappears

Letters in Languages Other than English

The multi-language letter functionality enables you to print and preview letters in the supported correspondence languages listed below. The application does not translate letters. You can create letters in any of the supported correspondence languages by writing the letter and then copy and paste the letter into a letter type. Each letter must first be created in the Default language of English. The letter types include appointment reminders, recall notices, demand account, demand encounter, and budget letters. Letters can be set up and printed in the following supported correspondence languages: Arabic (AR) Chinese (ZH) French (FR) German (DE) Hindi (HI) Italian (IT) Japanese (JA) Korean (KO) Persian (FA) Polish (PL) Portuguese (PT) Russian (RU) Spanish (ES) Vietnamese (VI) Setting Up Multi-Language Letters To setup the multi-language letters feature, you must select options in Enterprise Preferences and Practice Preferences. Setting Up Budget Plans

For budget plans in NextGen® Enterprise PM, you must set up the following in File Maintenance. You can set up Budget Plans using Budget Letters. Practice Preferences > Budget Accounts File Maintenance > PM Practice Master Files > Letters Note: You can create budget letters in File Maintenance in multiple languages and then printed in NextGen® Enterprise PM based on the Correspondence Language selected in the patient's demographics. Working with Multi-Language Letters in NextGen® Enterprise PM

In NextGen® Enterprise PM, the following types of letters can be printed in languages other than English: Appointment Reminder Recall Demand Account Demand Encounter Budget (all budget letters) Enter a Correspondence Language for a Patient You can enter a correspondence language for a patient. Printing Multi-Language Letters The letter types can be previewed and printed in the patient's preferred correspondence language.
