General Tab Practice Preference Descriptions
The following table describes the fields in General Practice Preferences.

Check for duplicate SSN | You can use this check box when adding a People Maintenance record or editing people, to see if another person in the enterprise has the same Social Security number. If there is a match, a message appears warning you about the duplicate entry. The warning message can be overridden |
Check for duplicate last name, birth date, sex | You can select this check box to prevent adding duplicate patients by checking if anyone in the enterprise has the same last name, birth date, and sex. Twins of the same sex are displayed, but can be ignored. |
Auto-closing | You can select this check box to automatically close out the practice at midnight. Any activity entered after midnight appears on the next process date. If the check box is cleared, the system must be manually closed through the Practice Closing Process.For more information, see the "Closing Out" section in the Practice Workflow User Guide for NextGen® Enterprise PM. |
Privatize patient list | You can select this check box if you do not want your practice to appear when View History (a "right-click" option) is chosen on People/Patient Search windows |
Display city on people lookup | You can select this check box to display the City field on the People Lookup window. The City field enables users to enter the city from a person's address as criteria when they perform a person lookup. |
Enable eligibility\referral | You can select this check box to provide access to menu items for the Eligibility/Referral System. This field appears only if you have purchased the Managed Care Server module. |
Prompt for password when application is restored from minimized session | You can select this check box to require users to re-enter their password when restoring a minimized session window of the application. |
Enable outsourcing | You can select this check box to enable users who are working with a patient chart to outsource the patient's outstanding charges to an external collection agency. |
Allow alphanumeric characters in SSN | You can select this option so that the Social Security number field accepts the entry of any combination of upper or lower-case characters and numbers, not to exceed a maximum of nine characters. |
Exclude expired patients default | You can select this check box to have the Exclude Expired Patients check box always selected by default on the Patient Lookup window. |
Display phonetic search | You can select this check box to activate phonetic search for patient and person lookups so that users can search for names that sound similar to the one they entered in the name search fields. When phonetic search is activated: The Phonetic Search check box appears on the Patient/Person Lookup window. The Use Phonetic Search check box becomes enabled on the General tab in NextGen® Enterprise PM General User Preferences window. If a user selects the check box, the Use Phonetic Search check box is always selected in the lookups. The Use Phonetic Search check box becomes enabled on the tab in File Maintenance. You can then make the check box selected for all users. |
Exclude all unknown SSNs | This field is enabled when the Require SSN check box is selected on the Chart Practice Preferences. You can select this check box to exclude unknown Social Security numbers from the check for duplicate SSNs. Unknown SSNs include 123-45-6789 and numbers in which all digits are the same (for example, 222-22-2222) .

Unknown SSN | This field is enabled when the Require SSN check box is selected on the Chart Practice Preferences. You can enter a Social Security number in the Unknown SSN field that your practice uses as the default number when a patient, such as a newborn infant, does not have a Social Security number. Because this number can be applied to multiple patients, it is excluded from the check for duplicate SSNs. |
Default Area Code | You can enter the area code that is used most frequently in your practice. This defaults in the area code for any phone number found in the system but can be overwritten as necessary. |
Payer User-Defined 1 Name | You can enter the name you want to assign to the payer. After this field has been assigned a label, it appears on the Add Payer Information window on the tab. |
Auto Logout Interval | You can use the up or down arrows to set the time interval to automatically log out a user from NextGen® Enterprise PM, NextGen® Enterprise EHR, and NextGen® Optical Management if no activity is detected for the set time interval. For example, if you want the system to log out a user when the user has not used it for 20 minutes, enter "20" in this field. If you do not want to use this feature, enter "0". |
Auto Minimization Interval | You can use the arrows to set the number of seconds that NextGen® Enterprise PM remains viewable when it is not being used. If that time passes and there has been no activity, the NextGen® Enterprise PM window automatically minimizes. The minimization time interval is set in 15-second increments. The default value is zero. If the interval is set to zero, automatic minimization does not occur. When you change this interval, NextGen® Enterprise PM must be restarted for the setting to take effect. |
Advisor Message | You can enter information that you want to display in the upper left area of the Advisor in NextGen® Enterprise PM. |
Advisor Hyperlink | You can enter the URL of a Web page to attach to the Advisor Message. When users open the Advisor in NextGen® Enterprise PM, the message appears as a link that they can select to view the web page. To display the complete URL on the Advisor window, you can fill the Advisor Hyperlink field. |
Advisor Hyperlink Text | You can enter the name of the page that is accessed when selecting the link to display the page name on the Advisor window.
For example, the Advisor Hyperlink field is filled with https://nextgenhealthcare.mysalesforce.com. The Advisor Hyperlink Text field is populated with NextGen SalesForce Site. NextGen SalesForce site appears on the Advisor window. |
Medical Necessity State | You can select the state/location code from the Medical Necessity State list. The code is broken down into a 2-digit state and 1-digit location (section of a state) code that enables you to select the state and location according to the Local Medical Review Policy databases. The location code is used for some states, but not all states. This state appears as the default in the Medical Necessity State field on the Medical Necessity window that is used to submit a request. The Medical Necessity State is a required field. This field appears only if you are licensed for Medical Necessity. |

First Quarter Starts On | If your practice needs to customize when the first quarter starts, you can select the starting date of the first quarter. This setting customizes the fiscal year for NextGen® Enterprise PM reporting, appointment lookup, eligibility referral lookup, and waitlist lookup. For example, if you select the date Apr 1, then the first quarter reports range from April 1 to June 30. The quarters are reflected in the date fields: In the report filter on the Filter 1 tab when you select First Quarter, Second Quarter, and so on for the appropriate reports (for example, Appointment Listing, Wait List, and Charges reports). For appointment lookups, eligibility referral lookups, and waitlist lookups |
Cache Procedure Charge Object | You can select this check box to cache information in memory so that performance improves for the Patient Procedure Trigger. |
Person Lookup Search By | You can select the default to use on the Patient Lookup window for searching for patients by:

Allow name prefix and suffix | You can select this check box to do the following:
The Prefix and Suffix lists are populated from the and Name Suffix tables in File Maintenance. You must populate the tables before the list appears on the Add/Modify Person Information window. |
Include suffix on lookup screens | You can select this check box to display the Suffix field on the following windows:
The Suffix field is filled from the table in File Maintenance. You must fill the tables before the list appears on the Lookup windows. |
Req on Relationship | You can select in the column to the right of the field that you want to make a required field when users create or update a relationship to a person. These preferences apply when you validate a new or existing contact, head of household, relationship, or insured. The following fields can be set as required: Birth Date, Sex, Address, City, State, and Zip.

Status Bar Information | To display customized text in the status bar of NextGen® Enterprise EHR, NextGen® Enterprise PM, and NextGen® Document Management, you can enter the text in this field. |
National Provider ID | If your practice is the entity that provides health care and needs to be identified with an NPI at the practice level, enter the practice-level NPI. This NPI is included in generated CCD documents. It is not used for claims purposes.

ERA - Include check number, date and amount in duplicate checking | You can select this option to use the TRN02 check number and the file path to determine if the 835 file is a duplicate file before importing the file. You must not select this option to only use the file path to determine if the 835 file is a duplicate file. These selections apply to both File Import and Directory Import. |
Require DOB and Sex on Chart and Encounter for guarantor | You can select this check box to require the guarantor's sex and date of birth at the chart and encounter levels. |
Display Veteran indicator | You can select this check box to display the Veteran check box on the Add/Modify Patient Informationon the Demographics tab.

Display Smoker Indicator | You can select this check box to display theSmoker check box on the Add/Modify Patient Informationon the Demographics tab.

Set Process Date for Encounter Rate SIM and Encounter Rate Adjustments as | This option applies to Encounter Rate (ER) payers with an Encounter Rate Billing Library setup to insert an ER SIM code as a charge during the billing process, or to apply ER auto-adjustments to charges during the billing process. You can select one of the following:

Default M/F Birth Sex to Current Gender | You can select this check box to default a patient's Birth Sex to the Current Gender and display selections for the Birth Sex and Current Gender of the patient on the Add/Modify Patient Information window. |
Enable DRAU Lookup | Enables DRAU Lookup for users who have access to archived information. If DRAU Lookup is enabled, you can view archived information such as NextGen® Enterprise PM appointments, significant events, and NextGen® Enterprise PM tasks.
