Field	Description
Collection Agency Name	Enter the name of the collection agency.
Address/ City/ State/ Zip/ Country/ County	The first space is for street number and name. The second space is for other address details such as suite number. If the ZIP code table is set up, you can enter the ZIP code, and the city, state, county, and country automatically display.
Phone/Fax Number	Enter the phone and fax number.
Contact	Enter the contact name of the collection agency.
E-Mail Address	Enter the e-mail address of the collection agency, if applicable.
Note	Enter any additional information.

Real-Time Address Validation for Collection Agencies

Real-time address validation occurs after you enter an address for a Collection Agency and select OK to save the data. This process applies to the address entered on the Add/Modify Collection Agency Information window. After you selectOKthe address is automatically sent to the USPS address validation API and compared to the addresses in the USPS database. The address fields that are sent for validation are address 1, address 2, city, state, and zip. The name of the entity is not sent. The USPS address validation API responds with one of several messages stating: Valid address. Address cannot be found. This address may be undeliverable. Address can be updated. The USPS provides the address found in the database. After the address validation process occurs, one of the following icons displays above the address fields on the window. - This icon indicates that an address may be undeliverable: The USPS database cannot locate the address in the USPS address validation API. Collection Agencies

In the Collection Agencies master file, you define the collection agencies to use when an encounter is pre-listed to Bad Debt status. From the Master Files - System list, select Collection Agencies. The Collection Agencies List window opens. Do one of the following: To add a new item, select open menu , and then select New. To modify an existing item, select the item in the list, select open menu , and then select Open. You can also double-click to open the item. The Add/Modify Collection Agency Information window opens. Enter the collection agency information. For more information on the fields on this window. If you want to hide the item in the list, select the Hide check box. Select Next to add another item or select OK to return to the Collection Agencies List window. Note: If you are editing an existing item, the Next button is not an option. Field Descriptions in the Add or Modify Zip Code Information Window

General Field Description City Enter the city of the ZIP Code. State Enter the state of the ZIP Code. Zip Enter the ZIP Code. Country Enter the country of the ZIP Code. Default Area Code Enter the area code you want the application to display each time the zip code is used in an address. The remaining fields are available only when you open or create a ZIP Code in File Maintenance. They are not available when you add a ZIP Code on the fly. Field Description Time Zone Time Zone designation within the U.S. - numbers 4-11 are assigned as follows: Code Description 4 Atlantic 5 Eastern 6 Central 7 Mountain 8 Pacific 9 Alaska 10 Hawaii-Aleutian Islands 11 Samoa Note: The time zone selections come from the Time Zone code table. Define Agencies

Click Add for the Agencies grid. The Care Coordination Team template opens. Care Cordiation Team Type the agency type in the Agency type field. The type can be any text that you choose but should meaningfully describe the type of services that the agency provides, such as pain management, dialysis, physical therapy, and so on. Type the agency’s name in the Agency name field. Type the agency’s phone number and fax number in the Agency phone and Agency fax fields respectively. If you want to add another agency, click the Save & Add New button. The system saves your entries and allows you to enter data for another team member. If you are finished adding agencies, click Save and Close. The system closes the template. An entry for the new agency appears on the Agencies grid. Add Address Information

You can add the billing or secondary address for the patient using the Add Person Information window.This information includes the patient or person's mailing address. The billing address is the address used for sending correspondence between your practice and the patient. If needed, you can enter a secondary address. In NextGen® Enterprise, open the People Lookup window and select New. The Add Person Information window opens.
