The following table describes the fields in the General tab on the Enterprise Preferences window.
Field | Description |

Provider Subgrouping 1 and Provider Subgrouping 2 | These user-defined fields are used as labels for reports at the enterprise or provider level. These labels appear as field names on the System tab on the Add/Modify Provider Information window. The tab labels also appear on various reports as filters and column headings. Reason Code Subgrouping 1 and Reason Code Subgrouping 2 | You can enter the labels to use in the report filters and report columns. These labels appear as field names in the Reason Code Library Maintenance window. |
Location Subgrouping 1 and Location Subgrouping 2 | You can enter the labels to use in the report filters and report columns. These labels appear as field names on the Location Defaults tab in the Location Information window. This allows you to pull report information from subgroups or logical categories, such as the north side of town. This reporting structure allows you to produce reports with cross-sectional data. It also helps you avoid the time-consuming process of rebuilding a memorized report to incorporate changes. |
Payer Subgrouping 1 and Payer Subgrouping 2 | You can enter the labels to use in reports at the enterprise or payer level. These labels appear as the field names on the Payer Defaults - 2 tab in the Add/Modify Payer Information window. The tab labels also appear on various reports as filters and column headings. |
Contract Subgrouping 1 and Contract Subgrouping 2 | You can enter the labels to use in report filters and for report columns. These labels appear as field names on the General tab of the Contract Library Maintenance window. The tab labels appear on various reports as filters and column headings. |
Diagnosis Subgrouping 1 and Diagnosis Subgrouping 2 | You can enter the labels to use in report filters and for report columns. These labels display as field names in the Diagnosis Codes library in the Add/Modify Diagnosis Code Information window. The tab labels also appear on various reports as filters and column headings.

Task Subgrouping 1 and Task Subgrouping 2 | You can enter label names for the fields that are used to assign category to a task in NextGen® Enterprise PM. Categorization allows users to easily manage, process, and report on tasks. If these fields are blank, the labels for the fields in all areas are displayed as Subgrouping 1 and Subgrouping 2.

Maximum image size in bytes | You can manually enter or use the buttons to set the maximum size of an image (in bytes) that can be stored in the database. Configuring the image size can be helpful to scan large files on small networks. It also controls the disk space requirements. |
Self Pay Description | You can enter a description for self-pay encounters, such as encounters when the patient does not have insurance. |
Loc Master Comment Caption | Enter a caption to change the name of the Directions field on the Location Defaults tab in the Locations master file. |
Enc Lock Interval | By default, NextGen® Enterprise locks encounters after 72 hours. To specify a different lock time, you must enter the number of hours in the Enc Lock Interval field.

RTE Default Payer ID | You can enter the payer ID for real time edits at the enterprise level. The enterprise-level ID is used as a default ID for the entire enterprise when practice-level and payer-level IDs are blank. The payer ID identifies the client and payer, which in turn represents a set of edits that opens from the NextGen® In-Line Edits engine. The ID has 13 characters. The first six characters indicate the client ID, and the last seven characters indicate the Payer ID. |
National Provider ID | If your enterprise provides health care, you can enter the enterprise-level National Provider Identifier (NPI) details. The NPI is included in CCD documents that are generated and cannot be used for claims purposes.

Practice access for payer master file | Select to limit the access to Payers master files for certain practices. If this option is not selected, all practices have access to all payers in the Payers master file.
The payers in the master file are displayed based on the practice access rights in the Group Information window in File Maintenance and the following windows in NextGen® Enterprise PM:

Practice access for provider master file | Select to limit access to the Provider master file for certain practices. If this option is not selected, all practices have access to all providers in the Providers master file.

EHR manual charge processing | Select to allow manual processing of charges sent from NextGen® Enterprise EHR to NextGen® Enterprise PM in the Charge Entry window. This option also allows you to generate reports from the reconciliation process. You must also select EHR manual charge processing in the Charge Entry practice preferences. A holding tank is turned on for storing the charges when EHR manual charge processing is turned on for both Enterprises and Practice Preferences. When you open the Charge Entry window in NextGen® Enterprise PM, a message prompts you to accept or decline the charges that were added in NextGen® Enterprise EHR. You can select Yes to load all charges from the charge holding tank into the NextGen® Enterprise PM Charge Entry window. If you select No, the charges are removed, and you are not prompted again. The EHR manual charge processing option also determines how you apply the unapplied encounter credits. |
External manual charge processing | If you select this option, you must also select the External manual charge processing checkbox in Charge Entry practice preferences. Select to hold charges in the charge holding tank that were sent from third-party applications through the HL7 Interface. The charges are held until the user processes them in the NextGen® Enterprise PM Charge Entry window. This option also allows you to generate reports from the reconciliation process. |
Archive electronic send files | Select to automatically archive 837 electronic files when they are created. |
Archive ERA files | Select to archive 835 electronic remittance advice (ERA) files in NextGen® Enterprise PM. ERA files are archived when they are downloaded from the payer or clearinghouses and imported into NextGen® Enterprise PM from . You can access archived ERA files later from . |
Encounter rate billing | Select to allow Encounter Rate Billing and display the Encounter Rate Library field in the Payers master file on the Libraries subtab on the Practice tab. |
Enable enterprise patient alerts | Select to allow the selection of practices within the enterprise that see the alert when a patient's information is accessed in NextGen® Enterprise PM. For more information on adding patient alerts, go to NextGen Healthcare Success Community, and download the latest Practice Workflow User Guide for NextGen® Enterprise PM. |
Enable enterprise patient balance alerts | Select to display the Patient Balance checkbox in Alerts practice preferences. When both options are selected, a message appears indicating the patient balance for each practice that a user has access to. |
Birth Mother's full name on Relations Tab | Select to make the fields for the birth mother's full name available to practices. When you select this, the Birth Mother's full name on Relations tab checkbox appears in Chart practice preferences so that the fields can be made available based on each practice. |
Enable batch transaction category field and Caption | Select to make the Caption field available, and then enter a name in that field to begin setting up the transaction category.

Archive Letters | Letters are archived when they are printed or exported in NextGen® Enterprise PM so that an image or copy of each letter is stored and available for viewing at a later time. Depending on the type of letter, you can view archived letters from either the guarantor's account profile or the patient chart.

Archive Statements | Individual statements and batch statements are archived when they are printed or exported in NextGen® Enterprise PM so that an image or copy of each statement is stored and available for viewing at a later time. You can view archived statements from the guarantor's account profile. To archive statements, select either Budget Statement or Statement. |
Save med necessity requests in chart notes | Select to create chart notes for each medical necessity request submitted. This option is available only if you have purchased NextGen® Medical Necessity Check. |
Archive claim acknowledgement files | Select to archive electronic 997 Functional Acknowledgement files in NextGen® Enterprise PM. The 997 files that are downloaded from the payer or clearinghouse are archived when they are imported into NextGen® Enterprise PM from . You can open archived 997 files later from . |
Create tasks during claim edits | Select to automatically create a worklog task when a task fails while edits are being run against an encounter. The created task is based on the default task set in the Claim Edits Library Maintenance window in the File Maintenance claim edits library. |
Create tasks during billing process | Select to create a worklog task when an encounter is being billed and a task fails. The created task is based on the default task set in the Claim Edits Library Maintenance window in the File Maintenance claim edits library. |
Archive claim status response files | Select to archive electronic 277 Claim Status Response files in NextGen® Enterprise PM. These 277 files are archived when they are downloaded from the payer or clearinghouses and imported into NextGen® Enterprise PM from . You can then open archived 277 files later from . |
Edit demographic ext data across enterprise | Select to allow the editing of demographic data belonging to other practices in the enterprise. |
Enable Credit Card Processing | Select to allow electronic payment processing for the practices within the enterprise. Electronic payment includes payments by credit cards, debit cards, and eCheck.

Enable Provider Credential Billing | Select to allow the billing functionality in NextGen® Enterprise PM that uses credential information from the Providers master file on the Credentialing tab. When you select this, you can hide credentials on the Primary Credentials section appears on the tab so you can identify which credentials are primary for providers with more than one set. tab. Enable Enterprise Batch Groupings | Select to allow users to create enterprise batches that group practice-level transaction batches. When you select Enable Enterprise Batch Groupings, the Enable enterprise batch groupings option is turned on in Transactions Practice Preferences. |
Require Community Code | Select this option to allow users to enter the community health code in the Community Code field on the Demographics tab of the patient chart in NextGen® Enterprise PM. You can make this field mandatory if you must report the code for the annual IHS (Indian Health Services) report for funding. You can also make the Community Code field mandatory at the practice level. |
Show DUR across enterprise | Select this option so that DUR alerts in the Medications module show patient data from other practices when a provider begins prescribing new medication and NextGen Healthcare automatically detects drug interactions with the patient's other prescribed medications.

Enable multiple co-pays | Select to apply multiple co-payers to an account. |
Enroll patients in enterprise chart | Select when Enterprise chart is turned on and you want patients to become enterprise patients. |
Enterprise case management | Select this option to make cases available to all practices within the same enterprise.

Enterprise chart | Select to allow users in NextGen® Enterprise EHR to view NextGen® Document Management images that are maintained in all practices within the enterprise. For synchronization across practices to work, the user who is logged on to NextGen® Enterprise EHR must have the following:

Enable multi-language for PM | Select to turn on the multi-language option for letters at the enterprise level. When you turn on this option, the following occurs:

Enable DRAU Lookup | Select to allow DRAU (Data Retention and Archiving Utility) Lookup for users who have access to archive information and view archived information. When DRAU Lookup is turned on, you can view archived information such as NextGen® Enterprise PM appointments, significant events, and NextGen® Enterprise PM tasks.
