Enable Secure Lookup Feature

When the secure lookup feature is enabled, users can perform secure lookups by entering a person's birth date or Social Security number. A search that uses the L4DSSN or secure Birth Date field shows results from within the current MPI at the system level. If the NextGen application is set for single MPI, secure lookups are already enabled by default. If the application is set for multiple MPI, you must enable the feature. Enabling the feature can affect both generic and secure searches. For example: The access to person demographics is limited to just the practice level for generic lookups (regardless of the MPI definition). When the MPI is defined at the enterprise level, enabling the secure lookup features limits the result sets of generic lookups (non-secure lookups) to just the demographics belonging to the practice that the user is logged in to. MPI Definition and Secure Lookup Affecting Lookup Results

MPI definition, enter of lookup, and association assignment can be combined in a variety of ways to receive different results when you perform a lookup. The following table lists some of the possibilities with the default MPI definition: MPI Definition Secure Lookup Enabled? Practice Assigned to Association? Type of Search? MPI Definition

The MPI limits user access to person records and it can be defined at one of three levels: System – All person records are shared globally. This is the default level. Enterprise – Person records are shared within the enterprise in which they are created. Practice – Person records are shared within the practice in which they are created. CAUTION: The MPI can only be redefined from a higher level to a lower level. For example, it can be redefined from System to Enterprise, but not from Enterprise to System. You cannot change the levels within the NextGen® Enterprise application. MPI definition changes must be configured and approved by NextGen HealthCare Consulting Services. The System level MPI functions similarly to previous versions of the NextGen® Enterprise application. If you had previous versions installed, changing to a MPI definition other than System can severely affect your existing interfaces and third-party systems because enterprises and practices will not be automatically

Limit Access to Patient Records

Four methods help you meet Health Insurance Portability and Accountability Act (HIPAA) Privacy regulations by limiting access to patient records: Associations – By assigning practices to associations, enables users in one practice to view records in other practices within the same association. MPI Definition – Restricts the patient records that a user can view by limiting the records to the MPI at the system, enterprise, or practice level. Secure Lookup – Enables users to securely search for a person record outside of their associations by using the last four digits of the patient Social Security number or the birth date. Patient Sharing with Inclusion and Exclusion Lists – Enables you to set up specific lists of patients that a user can or cannot view.
