Enroll a Patient in Automatic Payment Processing

Before you begin To enroll a patient for APC, the following information is required for fields that do not automatically populate. Automatic payment limit which is the maximum payment amount to bill the credit or debit card based on the statement cycle. Credit card number and expiration date. Contact preference, such as email address or cell phone number to contact the patient. Patient ID which automatically gets filled from NextGen® Enterprise PM. The first four digits are practice ID and the remaining digits are the patient account number. In NextGen® Enterprise PM, select Account. The Account Lookup window opens. Search and open the required account. The Account Profile window opens. Select the Credit Card on File tab. To open the APC portal, select the APC Portal button. A message displays that updates in the APC portal are reflected on the account after importing the next APC Daily Enrolment file. Select OK. Processing of Automatic Payment Collections Accounts for Payment

The processing of Automatic Payment Collections (APC) accounts for payment involves the following key steps: The APC statement file is generated manually or automatically using the NextGen® Background Business Processor. These statements cannot be created on demand. The APC statement is generated using the Statements Options window in NextGen® Enterprise PM and the Job Properties window in NextGen® Background Business Processor. After you upload the APC statement file to NextGen® EDI, the file follows the same process as regular statements and is sent to the print statement vendor who prepares an image for NextGen® Pay powered by InstaMed. Option to upload APC statement file to NextGen EDI The image file is sent to NextGen® Pay powered by InstaMed, and it sends notifications to all accounts that are identified in the APC statement file. The following list of reports can be configured to include the APC information. The Column Description provides information on enabling the APC information for that Report. Report Column Description Significant Event The following status or messages for the Significant Event Report, if the significant events are enabled. Failed Status if the APC is disabled in the NextGen® Pay powered by InstaMed portal and not returned in Daily Enrollment file. Add Jobs to Process the Daily Member Enrollment File in NextGen EDI

You can set up the APC directory import job to automatically import the APC enrollment files into NextGen® EDI. Note: NextGen Healthcare recommends that you add the APC directory import job to the same package that contains all the other APC jobs. Open NextGen® Background Business Processor. Select Packages > New. The Package Properties window opens. Select the Jobs tab. Select open menu and select New. The Job Properties window opens. Enter the job name. For example, APC File Import. In the Job Type field, select APC Directory Import. In Run as Practice, select a different practice if you want to change the default practice. In Upon Completion, select one of the notification options. Required: In Notification e-mail, enter the preferred email address for notifications. In the Settings section, enter the settings parameters. Note: NextGen Healthcare recommends that you set up the Source Directory, Move Successful Files Row and Move Failed File rows directory on your system. NextGen® ED

Manual Import of the Daily Enrollment File

To fill the fields in the APC section in the Credit Card on File tab on the Account window, you must import the APC file generated by NextGen® Pay powered by InstaMed. This file contains all patient enrollments. Note: NextGen Healthcare recommends you set up and run this process after work hours through NextGen® Background Business Processor, to update the files on a daily basis. Select File > Processes > APC File Import. Select the open record icon and locate the file that you want to import. Select Import. After you import and process the APC/Daily Member file, the following fields display in the Credit Card on File tab on the Account window. Automatic Payment Collection Preferred Contact Method Maximum $ Amt per Cycle The Significant Event Report, all Statement and Payment Reports reflect the APC activity. Statements of Automatic Payment Collections

The APC statement file for credit card processing only includes APC accounts that are flagged for APC, have a patient balance due on them, and fall in the current statement cycle as defined in the statement Practice Preferences. APC Statement You can view the APC statements in NextGen® EDI, NextGen® Pay powered by InstaMed, and NextGen® Enterprise Patient Portal. The APC statements have the following features. They are informational only. They are not included in the regular statement file. They create a separate export statement file, with PS appended to the file name. This file is saved in the location defined in the INI file > Export options. Do not include a remittance header. They archive as a regular statement in the application. When previewing regular statements, if there are APC statements created, a message appears asking if you want to preview the APC Statements.
