Acquire Documents and Images from Files

Before you begin To ensure that you do not file any duplicate documents with similar items, configure duplicate alert messages in File Maintenance. You can acquire and file documents and images from a file in the network location or the local computer. Open NextGen® Document Management. On the toolbar, select Scan & File to open the Batch Information window. Enter a description for the batch of documents or images you are about to acquire. You can leave the default description as QuickScan if you prefer. To assign the acquired batch to a user, select the user name from the Secured to User list. You can secure the batch to up to 5000 users. When you secure a batch to a user, no other user with the same level of security privileges can access the batch. Any person with a higher security setting (such as an administrator) can still access a secured batch. To automatically save the image batch after image acquisition, select the Auto Save Batch After Acquisition checkbox. In Acquire Profil

Link Explanation of Benefits Images to NextGen® Enterprise PM Transactions

You can associate Explanation of Benefits (EOB) batches that you scan or import into NextGen® Document Management with the transaction batches you create in NextGen® Enterprise PM. Associating EOB batches enables you to view the EOB information as you enter payment transactions. Note: To link the current NextGen® Document Management image to the active NextGen® Enterprise PM transaction in EOB Payment Entry window, select Alt+L in NextGen® Enterprise PM when the image you want to link is displayed in the viewer. Open NextGen® Document Management. Scan or import an EOB batch of documents to NextGen® Document Management, and then assign an EOB document type to the batch. OpenNextGen® Enterprise PM, and then when you create a transaction batch, in the Batch Maintenance window, select the NextGen® Document Management EOB batch from the Doc Mgmt Image Batch list. Create an EOB Document Type

File Maintenance includes an Explanation of Benefits (EOB) document type template that you can apply when you create a document type for EOB batches in NextGen® Document Management. The template automatically assigns EOB-related fields to the document type. Note: To use EOB filing with NextGen® Enterprise PM, a document type with the NextGen EOB template assigned must exist. Open File Maintenance. In Master Files, select System or PM or Document Management, and then select Document Types. The Document Types List window opens. Select the open menu button, and then select New. The Document Type Information window opens. In Document Type Description, enter the name of the document type, making sure the name indicates it is an EOB document type. In Document Type Template, select NextGen EOB as the EOB template you want to apply. The Document Type Information window displays the list of EOB-related fields that comprise the template. Send Documents and Images to NextGen® PxP Portal

Before you begin You must do the following: Complete enrollment in NextGen® PxP Portal. Add the NextGen® Document Management image to a patient's chart. Set up image rights in System Administrator. Configure document types and sending annotations with images in File Maintenance. In NextGen® Document Management, you can send documents and images to NextGen® PxP Portal. Note: You cannot send documents larger than 15 MB. However, you can set the size limit for sending documents to NextGen® PxP Portal in System Administrator. For more information on System Administrator, go to NextGen Healthcare Success Community, and download the System Administrator Guide for NextGen® Enterprise. Open NextGen® Document Management. On the toolbar, select Search, and then search for the documents or images. The Matching Records grid displays the list of patients who are associated with images that match your search results. Annotate an Image

Open NextGen® Enterprise EHR. Select a patient. Select an existing encounter from the Encounter History or create an encounter. Open the template that contains the Graphical Exam Tool (GET) component. The GET component window opens. The findings and exam tools are displayed for the selected location and provider in GET component. Note: The GET template can be opened in NextGen® Enterprise EHR without selecting the Reason for Visit. From the REASON FOR VISIT pane, select the reason for visit that you want to attach the finding. To change profile settings, select Settings from the Options and Settings Popup Menu . The Graphical Exam Tool - Settings window opens. Note: To edit profile settings, you must have the Operations Right for Administration > Edit EHR Component Profiles enabled in the System Administrator. Select the tab that contains the image you want to annotate first. The tab for the first image appears by default. Adjust the view or manipulate the image using the image toolbar

Using NextGen® Document Management with Other Applications

When you open a patient image in NextGen® Document Management while NextGen® Enterprise PM or NextGen® Enterprise EHR is open, the patient chart associated with the NextGen® Document Management image opens in the other application. NextGen® Document Management also displays the image of the active patient. This sequence of actions does not occur when you access NextGen® Document Management with Clinical Context Object Workgroup (CCOW). To synchronize with the active patient, you can select Active Patient from the Tasks menu. From NextGen® Document Management, you can open NextGen® Enterprise EHR demographic and MRN templates. You can access images associated with encounters from the list of encounters that appears in NextGen® Enterprise EHR. You can include images in the workflow. You can right-click a task in the workflow and select the Open Patient's Document option to display the images associated with the task.
