Set Up and Bill an Initial Encounter

When creating an encounter for recurring billing, you must set up the encounter to activate the automated billing for the initial encounter. On the Patient's Chart highlight the initial encounter and double-click. The Encounter Maintenance window opens. Enter the date the illness/injury began in the Onset Date field. This is a required field for the initial encounter for recurring billing. On the General tab, under the Encounter Types field, enable the Initial Enc in Series check box. Note: This field displays only when the Type of Facility and Bill Classification fields are set up in Practice Preferences. Select OK. Add the appropriate charges. Note: The revenue codes, which are attached to service items, must be set up before posting charges on the Charge Posting window in order for recurring UB billing to be recognized. Bill the encounter. After the billing process is complete, the first claim in a series is generated. Parent topic: Initial Encounter in a Series

Initial Encounter in a Series

The initial encounter in a series must also be set up at the encounter level. After the encounter is set up and billed, the billing process automatically populates the fields related to recurring billing on the UB tab of the Encounter Maintenance window. During the billing process, an Initial Encounter ID is assigned to the encounter to identify it as the first encounter in a series. Occurance Codes

The value in the Onset Date field on the Encounter Maintenance window is the default value for the first occurrence code field, 31a. The value in the Occurrence Code field in the Revenue Code master file is the default value for the second occurrence code field, 32a on the UB/Occurrences Codes tab of the Encounter Maintenance window. Viewing a Single Encounter After Billing

During the billing process, an Initial Encounter ID is assigned to the encounter to identify it as the first encounter in a series. By entering a discharge date, the encounter is also identified as the last encounter in the series. This combination of being the first and the last encounter in a series, signifies that this encounter is a single encounter in a series.
