Switching Between Batches

If you access the Payment Entry window through Batch Posting, you can switch between batches using the Control Group field at the top of the Payment Entry window. If you access this window through the patient's chart, you can only switch between encounters for the patient. Parent topic: Managing Batches

Search for Batches

You can search for a batch by date, dollar amount, description, or user. Open NextGen® Enterprise PM. On the main toolbar, select Posting Posting Button. The Batch Posting window opens. Select open menu Open Menu button, and then select Batch Lookup. The Batch Lookup window opens. To search for a batch, enter the search criteria, and then select Find. You can use different combinations of the search criteria to search for a patient. The Batch Lookup window displays the applicable batches.

Secure Single Batches in Batch Groups

Before you begin To set up Batch Groups, you must select the Enable Batch Groups check box on the General tab of the Practice Preferences window. To make the Members option available, you must select Enable batch sub-batches option in the Transactions tab of the Practice Preferences window. Users without the appropriate security rights cannot access the transactions in the batch. You can also remove an entire enterprise batch grouping from the list if no sub-batches are secured for the current user. You can set up batch security for the following: A single batch or multiple batches at the batch header level. A single batch in a batch group without multiple batches. A criterion to define if the batch can be changed in any way. Open NextGen® Enterprise PM. On the main toolbar, select Posting Batch Posting Icon. The Batch Posting window opens. Enter an Encounter Payment

Open NextGen® Enterprise PM. On the main toolbar, select Posting . The Batch Posting window opens. Double-click the batch header record. The Payment Entry window opens. Payment Entry Window Enter the desired payment information. Select Save. Parent topic: Posting Transactions Overview

Balance the Batch Header Record

After entering all the transactions, you must balance the batch header record before posting the batch to the accounts receivable record. Open NextGen® Enterprise PM. On the main toolbar, select Posting . The Batch Posting window opens. Select a batch, select the open menu icon, and then select Ledger. The Transaction Ledger window opens. Select Header. The Batch Maintenance window opens. Compare the amount in Total Billed, Total Allowed, and Total Paid of the Batch Maintenance window to the Transaction Ledger window. If the amounts do not match, change the amounts as necessary. CAUTION: Every batch item entered will have a corresponding billed amount is entered. If you have a charge of $25.00 and you receive two separate checks to apply to the charge, the charge shows on the ledger twice. The billed amount for the two checks is $50.00, not $25.00. Open the Patient Information Bar in Payment Entry

Before you begin Practice and user preferences must be set to enable the Patient Information Bar in payment entry. You can open the Patient Information Bar in the Payment Entry window. Open NextGen® Enterprise PM. From the main toolbar, select Posting. The Batch Posting window opens. Select and then select New to create a batch or Open to open an existing batch. The Payment Entry window opens, displaying the Patient Information Bar. Note: The Patient Information Bar does not show any information until a patient is selected. Search for and select the patient whose payments you want to record. Information for the selected patient appears in the Patient Information Bar.
