Appointment Reminder Letters

Appointment Reminder letters are the mechanism used in NextGen® Enterprise PM to remind patients of their upcoming scheduled appointment. The type of letter generated is determined by the setup in File Maintenance. Letters are created in the Letters master file for each practice. The letters are then linked to specific Locations, Resources or Events in the Appointment Reminders master file. A Default Appt Reminder letter is selected in Practice Preferences > Appt Scheduling. You can print a single appointment reminder letter for an individual patient on demand, or you can print multiple letters in a batch for all patients that qualify for a letter. Note: Appointment reminder letters can be created in File Maintenance in multiple languages and then printed in NextGen® Enterprise PM based on the Correspondence Language selected in the patient's demographics. Printing from Appointment Book

From the Appointment Book, select the appointment for which a letter is to be printed. Right-click and select Print, and then select Appt Reminder. The Demand Appointment Reminder Letter preview window displays the letter for the selected appointment. To print the letter, Enter the Print Dialog button or the Quick Print button on the letter preview toolbar. To close the window, Enter the Close Preview button on the letter preview toolbar. From the main toolbar, select the Appointments button. The Appointment Lookup window opens. Enter the appropriate Search Criteria to locate the desired appointment. Select Find. In the Appointment List section, select the appointment for which a letter is to be printed. Right-click and select Print, and then select Appt Reminder. The Demand Appointment Reminder Letters preview window displays the letter for the selected appointment. To print the letter, select the Print Dialog button or the Quick Print button on the letter preview toolbar. To close the window, select the Close Preview button on the letter preview toolbar. Printing Multiple Letters from Appointment Lookup

From the main toolbar, select the Appointments button. The Appointment Lookup window opens. Enter the appropriate Search Criteria to locate the desired appointments. Select Find. In the Appointment List section, select the appointments for which letters are to be printed. Right-click and select Print, and then select Appt Reminder. The Demand Appointment Reminder Letters preview window displays the letter for the first appointment selected. To preview and scroll through letters for other selected appointments, select the blue left/right arrow buttons on the letter preview toolbar. To print the letters, select the Print Dialog button or the Quick Print button on the letter preview toolbar. To close the window, select the Close Preview button on the letter preview toolbar. Printing from Appointment Confirmation window

From the Appointment Book, select the resource, date and time slot for the new appointment. Do one of the following: From the appointment toolbar, select the Add Appt button. Right-select on the time slot and select New from the menu. Double-click on the time slot. The Add Appointment window opens. Complete all fields required to complete the new appointment. To save the appointment, Enter OK. Note: The Appointment Confirmation window opens only once, and only if the Show appointment confirmation after scheduling appointment check box is selected in Scheduling User Preferences > General tab. The Appointment Confirmation window opens. Select Print, and then select Appt Reminder from the menu. The Demand Appointment Reminder Letter preview window displays the letter for the appointment.
