Daily Balancing for the Front Office and Back Office

The application provides reports that can help you perform daily balancing for: Front Office charges and payments Back Office (Batch) charges and payments Daily Balancing for the Front Office (Front Desk) involves: Accounting for all kept appointments - the Kept Appointments with No Charges report Balancing charges entered to fee tickets - the Daily Charges report Balancing payments and/or bank deposits (active batch) - the Daily Payments report Encounters with No Charges Appointment No shows Daily Balancing for batches (the back office) includes: Balancing a batch of charges in NextGen® Enterprise PM to the group of fee tickets issued for the day - the Daily Charges report by Creator, Amount, or Count. Daily Refunds

To balance refunds for the day, run a Daily Refunds report. Three variations of the report are available: Daily by Line Item Refunds Daily by Transaction Refunds Daily by Encounter Refunds Refunds by Line Item Report You can generate the Refunds by Line Item report in NextGen® Enterprise PM. To balance adjustments for the day, run a Daily Adjustments report. Daily Charges By Current User Report

The Daily Charges By Current User report is a line item based report that shows charges created by the user that is logged into NextGen® Enterprise PM when the report is generated. The report can be used to provide a detailed listing of charges for auditing, balancing and productivity purposes. The Daily Charges and Daily Charges By Current User reports are almost identical. Columns available on the two reports are the same. Filters available on the two reports are also the same, with a couple of exceptions. Creator and Locations filters are not available on this report. These filters are not needed since the report shows only charges created by the current user for all locations. To access the report in NextGen® Enterprise PM, select the Reports menu and select Daily and then select Charges by Current User. Payments by Encounter Report

The Payments by Encounter report shows payments that have taken place during a specific date range. The reports display transactions under the primary payer or financial class on the encounter. These are line-item based reports that show the breakdown of the total transaction amount as applied to each individual line item. If Reason Codes are included, the codes selected at the lowest (line item section) of the Payment Entry window appears. You can generate the report in NextGen® Enterprise PM by selecting Reports > Daily > By Encounter > Payments. Note: Payments by Encounter report can be made available to use enhanced reporting functionality. For more information, refer to Enhanced Reports in NextGen® Enterprise PM. Payments by Transaction Report

The Payments by Transaction report displays all transactions that have payments made to them. The report is sorted by billing date. Totals are for payment amount for each listed date. When the payments are entered into a batch, a system generated Batch Listing report is run to balance the payments in that batch to the total amount of cash, checks, and credit card receipts. This report can be used to balance those batch totals to the amount of the daily deposit. You can generate the report in NextGen® Enterprise PM by selecting Reports > Daily > By Transaction > Payments.
