Collect ECheck Payments With Check Scanners

Before you begin

Before using a check scanner to apply a payment, you must ensure that the following requirements are met:
  • The check scanner is setup by NextGen® Pay powered by InstaMed on the Portal Configuration page.
  • An Image Safe Check Scanner is attached to the workstation.
  • The user has system administration rights to enter payments.
  • An active batch is set.

You must activate a batch before you process a patients payment. Then you can enter the payment information on the Payment Entry window.
  1. In NextGen® Enterprise PM, select Posting.
    The Batch Posting window opens.
  2. Right-click a batch and select Active Batch.
  3. Double-click the active batch.
    The Payment Entry window opens.
  4. In the Payer field, select patient.
  5. Select CC Pay, and then select ECheck.
    The InstaMed web form opens.
  6. Optional: If there are existing practice preferences and no user preferences are selected, select one of the payment processing method:
    • For practices with a single MID, the NextGen® Pay powered by InstaMed web form opens on your default browser and you can enter the cheque details.
    • For practices with multiple existing MID's, the Profile and Using Outlet options appear as blank by default. You can select the desired profile and outlet, and select Process to enter the cheque details.

      Any existing user preferences are available in the window.

  7. Select Scan, and then place the check in the check scanner.
  8. Select the check type as Patient Present or Patient Not Present, and then select state and zip code associated with the address on the check on the web form.
  9. Optional: To save the payment, select the Save Payment Method checkbox.
  10. Select Submit.
    An authorization message appears.
  11. Select OK.
    The Print Receipt window opens.
  12. Optional: To review the receipt prior to printing, select Preview.
  13. To print the receipt for the patient, select Print.
