UB Tab on the Create Encounters Window

Only Enhanced UB users who are using the automated UB claims process can see and use the UB tab on the Create Encounters window in NextGen® Enterprise PM. The following list explains the functionality of this tab. When an Enhanced UB user wants to create a new encounter for a patient who had a previous encounter billed as a UB, this window appears. This window allows you to copy forward all the automated UB encounter information (for primary payers only) that was previously entered for this patient. The encounters that populate this window have the following characteristics: The Type of Bill field, segment 3 on the UB / General tab populates with a 2, 3, or a blank space. The encounters are in Unbilled, Billed, Rebilled, or Bad Debt status. When you select an encounter that is listed on the window, you can use the buttons at the bottom of the window to do the following: Select the New button to create a new encounter for this patient without copying forward any previous encounter infor

Set Up Encounters for Enhanced UB Claims (After Billing)

Access the Encounter Maintenance window for the patient and encounter the UB claim was created for. In NextGen® Enterprise PM, select the Chart button on the main toolbar. The Patient Lookup window opens. Enter Search Criteria to locate the desired patient and then select Find. From the Matching Records section, double-click to open the desired patient. The Patient Chart window opens. Select the Encounters tab. Right-click the encounter, and then select Open. The Service Location field is no longer accessible once an encounter has been billed. Select the UB tab. The fields on this window automatically default the applicable information once the encounter has been billed. Do not change any of the information on this window. Select the Occurrence Codes tab. The fields on this window automatically default the occurrence code information once the encounter has been billed. These occurrence codes are attached to the revenue codes, which are attached to the service items that were billed. Do

Open NextGen® Enterprise PM. Select Encounter. The Encounter Lookup window opens. In the Bill Status field, select Rebill or Unbilled. Note: Encounters with a status of Bad Debt, Billed or History have already been billed. Clear the Include records without charges check box to exclude encounters that do not have charges. Enter additional Search Criteria to locate the desired encounter. Select Find. Encounters matching the search criteria display in the Encounter List section of the window. Select Encounter List, and then select the encounter to be billed in the Enc Nbr column. Right-click the encounter, and then select Bill. If the encounter is a self-pay encounter with no insurance attached, a message appears stating that do you want to bill this self-pay encounter. Select Yes. The encounter status changes from Unbilled or Rebill to Billed. If the encounter has insurance attached, the encounter goes through the claim edits process and the Claim Production Status report appears. The en

Create an Encounter from an Appointment Create an Encounter from an Appointment If a patient has appointment and services performed by a provider in the practice, you must create an encounter from the appointment during the check-in process. Open NextGen® Enterprise PM. From Appointment Book, select the appointment. Right-click an appointment and select Checkin/Create Encounter. The Add Patient Information window opens. If the patient does not have a chart, update necessary information in the Add Patient Information window, and then select Chart to create the patient's chart. The Create Encounter window opens. Select a program for the encounter. Enter all the mandatory information marked in red to complete the patient's encounter. Note: In Practice Preferences > Case Management, if the Allow encounter payers to differ when case is attached preference is selected, you can link a case to an appointment even if the insurance on the appointment differs from the insurance on the case.
