Set Up Encounters for Enhanced UB Claims (After Billing)

Access the Encounter Maintenance window for the patient and encounter the UB claim was created for. In NextGen® Enterprise PM, select the Chart button on the main toolbar. The Patient Lookup window opens. Enter Search Criteria to locate the desired patient and then select Find. From the Matching Records section, double-click to open the desired patient. The Patient Chart window opens. Select the Encounters tab. Right-click the encounter, and then select Open. The Service Location field is no longer accessible once an encounter has been billed. Select the UB tab. Encounter Maintenance The fields on this window automatically default the applicable information once the encounter has been billed. Do not change any of the information on this window. Select the Occurrence Codes tab. Bill an Individual Encounter from Encounter Lookup

Open NextGen® Enterprise PM. Select Encounter. The Encounter Lookup window opens. In the Bill Status field, select Rebill or Unbilled. Note: Encounters with a status of Bad Debt, Billed or History have already been billed. Clear the Include records without charges check box to exclude encounters that do not have charges. Enter additional Search Criteria to locate the desired encounter. Select Find. Encounters matching the search criteria display in the Encounter List section of the window. Select Encounter List, and then select the encounter to be billed in the Enc Nbr column. Right-click the encounter, and then select Bill. If the encounter is a self-pay encounter with no insurance attached, a message appears stating that do you want to bill this self-pay encounter. Select Yes. The encounter status changes from Unbilled or Rebill to Billed. Create an Encounter from an Appointment Create an Encounter from an Appointment If a patient has appointment and services performed by a provider in the practice, you must create an encounter from the appointment during the check-in process. Open NextGen® Enterprise PM. From Appointment Book, select the appointment. Right-click an appointment and select Checkin/Create Encounter. The Add Patient Information window opens. If the patient does not have a chart, update necessary information in the Add Patient Information window, and then select Chart to create the patient's chart. The Create Encounter window opens. Select a program for the encounter. Enter all the mandatory information marked in red to complete the patient's encounter. Note: In Practice Preferences > Case Management, if the Allow encounter payers to differ when case is attached preference is selected, you can link a case to an appointment even if the insurance on the appointment differs from the insurance on the case. Create and Bill the Final Encounter

When creating the final encounter in a series for a patient for recurring billing, the UB Encounters window opens to enable you to link the final encounter to the initial encounter. From the Encounters tab on the patient's chart, select the open menu button and select New. The UB Encounters window opens. Highlight the encounter that displays the initial encounter and select the Copy Forward button. The Create Encounter window opens. Note: The copy forward function copies the values from the Onset Date, Occurrence Codes, and Value Codes from the initial encounter to the new encounter. The encounter is identified in the application as the final encounter in the series, because the billable date is different from the onset date and the discharge is the same as the billable date. Enter the date the patient is discharged from therapy in the Discharge Date field. This field is required for the final encounter in the series. Create and Bill Subsequent Encounters

When creating a subsequent encounter in a series for a patient for recurring billing, the UB Encounters window opens to enable you to link the subsequent encounters to the initial encounter. From the Encounters tab on the patient's chart, select the open menu button and select New. The UB Encounters window opens. Highlight the encounter that displays the initial encounter and select the Copy Forward button. Note: There can be more than one recurring cycle at the same time. Be sure to highlight the correct encounter for the cycle you are adding to. For example, there may be a recurring cycle for physical and speech therapy after a stroke. If you want to create a new encounter that is not part of the recurring cycle, use the New button. The Create Encounter window opens. The copy forward function copies the values from the Onset Date, Occurrence Codes, and Value Codes from the initial encounter to the new encounter. Set Up an Encounter for Regular UB Users

Access the Encounter Maintenance window for the patient and encounter the UB claim is being created for if you want occurrence and value codes to display on the UB claim. In NextGen® Enterprise PM, select the Chart icon on the main toolbar. The Patient Lookup window appears. Enter the search criteria and then select Find. To open the chart, right-click the chart and then select Open. On the Encounters tab, right-click the encounter and then select open menu icon . The Encounter Maintenance window appears. Select the UB tab, then the Occurrence Codes sub-tab. Enter the occurrence codes and dates in the field locator fields, if applicable. To enter the value codes and associated dollar value or unit value, select the Value Codes tab and enter the data in the Field Locator fields. Select OK.
