Set Up a Default Payment Spread for a Practice

NextGen® Enterprise PM can evenly apply a payment received to each line item with amounts due. When you set a distribution option in the Practice Preferences window, that distribution option becomes the default option for the practice. Open NextGen® Enterprise PM. Select Admin > Preferences > Practice The Practice Preferences window opens. Select Transactions under the Preferences list. In the Default Transaction Spreading Transaction Source, do the following: In Transaction Source,select the source of the transaction. Select one of the following spread options: First In/First Out First In/First Out - Pat Resp Date Weighted Distribution Practice Preferences Payment Spreading Select OK. Set Up a Payment Spread for a patient

When a payment is received and a patient has several line items with amounts due, NextGen® Enterprise PM applies payments to line items when a payment is entered on the Payment Entry window. The line items and applied payment amounts depend on the option you choose. Open NextGen® Enterprise PM. On the main toolbar, select Posting . The Batch Posting window opens. Double-click the batch header record. The Payment Entry window opens. Type the encounter number in Enc/Clm#, and press Enter. The account guarantor, patient, medical record number, and the billed account displays in the Payment Entry window. Select Open. The Payment Entry window become available for modifications. In Pay Amt, enter the payment amount. In Adj Amt, enter an adjustment amount. Select the line items to apply the spread amount.` Right-click the line-item, select Spread and then select one of the following options: FIFO FIFO - Pat Resp Date Weight Distribution Select Save. Recording Transactions to a Batch

You can create a batch for initiating the payment posting process for patient payments, insurance End Of Business(EOB), and invoices. NextGen® Enterprise PM requires you to create a transaction batch header for entering payments or transactions. You can use the Batch Maintenance window to add transactions to batches for: Encounters Accounts Invoices Budgets Creating Batch Header Records You can create a batch header record to enter transactions in NextGen® Enterprise PM. Patient Pay Practice Preferences

The Patient Pay Practice Preferences provides options related to patient payments that are processed electronically in NextGen® Enterprise PM, similar to an ERA 835 file. The electronic file comes from a bank instead of a payer. A practice would set this up with their financial institution. Patients that owe balances would send their payments to the bank instead of sending it to the practice. The bank would then deposit the money into the practice's account and send the practice a file that can be imported into NextGen® Enterprise PM, just as an ERA file is imported. A transaction batch is automatically created when the file is imported, and a report is generated similar to the ERA Import Posting report. Setting up the NextGen® Pay powered by InstaMed End of Day file Import

Before you begin In File Maintenance, add a default transaction code in File Maintenance > Master Files > System > Transaction Codes. Set up a file directory for importing files in NextGen® Enterprise PM. Complete the following steps for setting up the EOD file import process. Open NextGen® Enterprise PM, and then select Admin > Preference > Practice. The Practice Preferences window opens. Under Preferences List, select Patient Pay and then do the following: In the Patient Pay Import section, select the default transaction code or any other credit card transaction codes. Note: Payments are not posted if you do not select the default transaction code or any other transaction code.
