Security for Process Date Override

With the appropriate security rights, you can override (backdate) the Process Date for charges and transactions so that they appear on reports for the desired financial period. Month end and other reports printed for financial management purposes are typically run using a Process Date range. Only users with access rights to the following options in System Administrator can override the Process Date for charges and transactions. Operations > Transactions > Batch Process Date Override Yes: Users can access the Process Date field on the transaction Batch Maintenance window and they can enter an override process date for batches as needed. Transactions within the batch will have a process date equal to the date specified by the user. No: Users cannot access the Process Date field on the transaction Batch Maintenance window. Charge and Transaction Dates

Charge Create Date: The date captured during charge entry for each line item and reflects the date the charge was created or entered on the Charge Posting window. The date is equal to the current system date and it cannot be modified. Charge Service Date: The date captured during charge entry for each line item and reflects the date the service was rendered. The date defaults to the Charge Posting window from the Billable Date field on the Encounter Maintenance window. The date can be modified either before or after the practice closing process. Charge Process Date: The date captured during the practice closing process. For Auto Close, the date is the same as the current system date unless the process date was overridden (backdated) on the Charge Posting window. For Manual Close, the date is the Current Process Date displayed on the Practice Closing window unless the process date was overridden (backdated) on the Charge Posting window. Viewing Process Date for Automatic Adjustments

The process date for automatic adjustments is determined by options you have selected in the Contract library. The process date is either the process date entered for the charge or the create date on the charge. Automatic Adjustments and Automatically Adjusted Charges- If the charge process date is overridden during charge posting and there is a contract linked to the patient’s insurance that is set up in the Contract library to automatically adjust charges, the process date on the automatic adjustment transaction is the same as the process date entered for the charge. Automatic Adjustments and Automatically Adjusted Charges- If the charge process date is overridden during charge posting and there is a sliding fee schedule linked to the patient that is set up in the Contract library to make automatic adjustments based on family size and income. Viewing Transaction Dates

All transactions including payments, adjustments, and refunds can have the following dates associated with them: Transaction Date The transaction date is the date on which the payment is received. This date defaults from the Default Date selected in the Batch Maintenance window. You can modify the transaction date before the batch is posted. The transaction date cannot be modified after the batch has been posted. Post Date The post date is the date on which the transaction batch is posted. The post date is the system date and users cannot be modified. Process Date The Process date is the date recorded during the practice closing process. You can modify the process date before the batch is posted. The process date cannot be modified after the batch has been posted. Automatic Adjustments Overview

You can apply automatic adjustments at the time of charge posting to adjust the difference between the charge amount for a procedure and the allowed amount for the payer. Charge Amount - Allowed Amount = Adjustment Amount When you enter and save a charge on the Charge Posting window, the Contract can be linked to the payer (insurance) on the charge. If there is a contract linked to the payer, the CPT4 code for the charge is included in the Fee Schedule set up within the contract and the Automatically adjust charges option is enabled in the setup of the contract, then the automatic adjustment is applied to the charge. Automatic Adjustments - Additional Information

The following are some additional details about the automatic adjustments: An auto-adjustment transaction has a Posted status with a source of Manual Entry, and a tracking description of Auto Adjustment Batch. This batch is not accessible, and therefore the transaction cannot be modified. If you delete a charge with an associated auto-adjustment, the adjustment transaction is also deleted. The Transaction Date, Post Date and Process Date on an auto-adjustment are the same as the Create Date on the charge. If the charge is entered today and the auto-adjustment is applied today, the charge create date and the transaction dates are the same. If you enter an Override price on a charge, an auto-adjustment is applied to the charge when the Allow auto adj when charge amt overridden option is enabled in Practice Preferences > Charge Entry tab. If the Rendering provider on the charge is a non-participating provider for the contract, an auto-adjustment is not applied to the charge. If you do not
