Set Up NextGen® Background Business Processor Packages to Process the Daily Enrollment File

To download and import the APC daily member enrollment file from the NextGen® Pay powered by InstaMed portal, you can create a NextGen® Background Business Processor package with two jobs. If you decide not to create the BBP packages, you can manually import the enrollment file. APC Directory Import Job

The APC Directory Import job is added to the NextGen® Background Business Processor. This job will retrieve nightly the InstaMed Daily Enrollment file from NextGen® EDI and process the file through NextGen® Background Business Processor. It is recommended that this process be set up in NextGen® Background Business Processor to ensure that this file is processed each evening before APC statements are sent to InstaMed. You can create the job to download and export the APC statements by configuring the fields as described in the following table. Add a Job to Process the Daily Member Enrollment File in NextGen EDI

To set up the APC directory import job to automatically import the APC enrollment files into NextGen® EDI, use the following procedure. Note: The APC enrollment files are imported into NextGen® EDI. It is recommended to add the APC directory import job to the same package that contains all the other APC jobs. Access BBP > Packages > New. The Package Properties window opens. Select the Jobs tab. Select the open menu button and select New. The Job Properties window opens. Enter the job name in the Job Name field. For example, APC File Import. Select APC Directory Import in the Job Type field. Enter Run as Practice field to change the name of the default practice. Select a notify option in the Upon Completion field. Select one of the following: Do not notify Notify on completion Notify on failed Notify on success Enter the preferred email address for notifications in the Notification e-mail field (required). Manual Import of the Daily Enrollment File

Only use this procedure if you are not using the NextGen® Background Business Processor process to import the Daily Enrollment file. To populate the fields in the APC section in the Credit Card on File tab on the Account window, you must import the APC file generated by NextGen® Pay powered by InstaMed. This file contains all patient enrollments. Note: NextGen Healthcare recommends you set up and run this process after work hours through NextGen® Background Business Processor, to update the files on a daily basis. Select File > Processes > APC File Import. Select the open record icon and navigate to the file that you want to import. Select Import. After you import and process the APC/Daily Member file, the following fields display in the Credit Card on File tab on the Account window. Processing of Automatic Payment Collections Accounts for Payment

Processing of Automatic Payment Collections (APC) accounts for payment is based on a practice’s regular statement cycle and involves the following key steps: APC statement file is generated manually or automatically using the NextGen® Background Business Processor. These statements cannot be created on demand. Use the Statements Options window in NextGen® Enterprise PM and the Job Properties window in NextGen® Background Business Processor to generate the APC statement. After you upload the APC statement file to NextGen® EDI, the file follows the same process as regular statements and is sent to the print statement vendor who prepares an image for NextGen® Pay powered by InstaMed. Option to upload APC statement file to NextGen EDI The image file is sent to NextGen® Pay powered by InstaMed, and NextGen® Pay powered by InstaMed sends notifications to all accounts that are identified in the APC statement file. This notification is based on the account preference of email or text message.
